We’re looking for a talented Event Lead to join the team responsible for producing high-touch exclusive VIP retreats and large scale events globally. The ideal candidate will have technical proficiency in all areas of event production, inclusive of the planning and onsite execution of live events.
The right candidate will have a solid background in the live event sector including pre-production, administration and onsite delivery in complex retreat/conference/arts/performance/activity/music events. S/he will enjoy working in a fast-paced, global organization and will prioritize building and cultivating stakeholder relationships both internally and externally.
Responsibilities
• Producing and delivering multiple large-scale events from beginning to end, including researching forward-thinking content, researching venues, building relationships with key industry players, creating agendas and content plans as needed.
• Building strong relationships with local, national and international vendors, act as the liaison and responsible for bidding and negotiating vendor proposals.
• Oversee the budget management for both individual event specific budgets and master budgets.
• Lead the on-site execution, coordination and support for internal teams and external vendors while maintaining open communication during each event and project.
• Brainstorm, strategize and propose event concepts, activations, and plans based on the needs of the event.
• Maintain current knowledge of industry landscape, market trends, and key category activity across events, hospitality and entertainment
• Liaise closely with all departments, particularly to develop and monitor gantt charts, schedules, responsibilities, and deliverables associated with assigned events. Responsible for setting and running project meetings.
• Create reporting processes and presentations to the Event Producer for executive use.
• Attend all necessary partner, production, programming meetings as required and assist in bringing on board any potential assets and integrating this into the event planning and final proofs.
• Oversee all deliverables for the event including but not limited to marketing, internal and external communication, registration systems and ticket sales.
• To action all other reasonable requests as stipulated by the Event Producer and event needs.
Qualifications
• Bachelor’s Degree or equivalent.
• At least 3-5 years of relevant experience in a medium to high growth company.
• Proven event production expertise with emphasis on the technical aspects of event production.
• Strong project management skills with the ability to prioritize and manage multiple projects, team members, and events simultaneously in a fast-paced environment from end to end.
• Proficient in Microsoft and G Suite online and Excel, knowledge about managing data and lists in Air Table preferred.
• A highly organised individual who can cope with change of pace, will have an outstanding attention to detail as well as someone who is very outcome focused and target driven.
• Excellent interpersonal communications, extremely detailed oriented with minute focus on lists, and thrives in high stress situations.
• Demonstrates high ownership, integrity, maturity, dependability, responsibility, accountability, self-awareness, and empathy.
• Skilled at understanding and proposing high-level goals and visualizing how best to create and execute processes to achieve those goals.
• Proven ability to help manage complex events for a wide variety of clients to an exceptionally high standard.
• Exceptional design sensibility and ability to give clear, concise creative direction.
• Ability to work nights, weekends, and travel as needed.
• Must be able to lift up to 25lbs and set-up stages sets and signage as needed.
