Administrative Services and Facilities comprises several groups supporting corporate office operations for First Republic, including Facilities, Corporate Purchasing, Mail Room, Reception, and Architectural Design & Development. Our people serve our colleagues’ in-office needs in multiple regions throughout the United States.
The Lease Administrator, as part of the Facilities and Administrative Services team, is responsible for managing and administering First Republic Bank’s real estate leases, reporting of portfolio key data and critical dates, maintaining the system of record, processing of rental payments and developing relationships with local property managers and landlords. This individual will work with many internal cross-functional business partners including Legal, Tax, Risk Management, Accounting and Finance. In addition, this individual will work with many external business partners such as outside legal counsel, third-party consultants and landlords.
Responsibilities
What you’ll do as a Lease Administrator:
• Review and abstract leases, including obtaining market data/comps to perform lease classification tests
• Review and approve monthly tenant statements including all rent, miscellaneous, CAM/Opex and true up charges
• Own and track lease data
◦ Tenant Improvement receivables
◦ Lease expirations/renewal dates/option notification dates
◦ CPI increases
◦ Square footage of all lease spaces
• Perform and analyze CAM lease audits and reconciliations
• Analyze non-real estate contracts to determine if there is a lease per ASC 842
• Act as a liaison with landlords and property managers
• Detailed record keeping of lease files including blue ink originals, amendments, notices, etc.
• Facilitate lease exhibit execution
• Assist with Estoppel and SNDA (Subordination, Non-Disturbance, and Attornment) agreements
• Manage quarterly lease team meetings
• Act as a liaison between internal departments
Qualifications
What skills you will use:
• Hands-on Lease Administration experience
• Ability to review, interpret and abstract legal real estate documents
• Experience with database/records management
• Attention to detail and strong interpersonal skills required
• Proven financial, analytical and creative problem solving skills
• Excellent oral and written communication skills
• Understanding of lease accounting requirements a plus (ASC 842)
