Position Overview
This position will support the VP – Multifamily BTO within the Information Technology division. Act as office manager for the department and as key contact for managing the calendar of the VP which includes the scheduling of meetings and events with internal and external customers.
Responsibilities Include:
• Coordinate with business areas to provide timely and accurate information necessary for the executive to be appropriately prepared for corporate and stakeholder meetings.
• Ensure that information is factual and appropriate.
• Establish and manage office protocol ensuring that administrative practices support the corporate mission, strategy goals and activities.
• Exercise discretion and judgment in managing executive appointments to ensure the executive's time is used most effectively.
• Manage calendar entries; assisting in the planning and scheduling of team events, learning sessions, and business meetings.
• Organize team meetings and outings, setup agenda and capture meeting minutes/action items.
• Provide telephone coverage and identify e-mails that require immediate attention for the VP and her direct reports.
• Manage travel plans as necessary to attend external meetings, conferences, and other business functions.
• Maintain office supplies as needed.
• Assist with space allocations for new and/or existing employees.
• Coordinate new hire on-boarding including equipment and space.
• Maintain confidential information.
Qualifications
• Minimum 3-5 years of executive level administrative support
• Bachelor’s Degree or equivalent experience
• Advanced computer skills; strong knowledge and expertise with Microsoft Office Suite of products
• Advanced/expert skills preparing and modifying Powerpoint presentations and Excel spreadsheets
• Knowledge of all office functions
• Strong attention to detail; demonstration of sound judgment, tact, diplomacy and discretion
• Ability to work well under pressure and multi-task in a fast-paced environment
• Team player that collaborates effectively with colleagues across the enterprise

• Ability to network with other administrative coordinators within the division and across the corporation
• Demonstrated business acumen, resourcefulness, problem solving skills, intellectual maturity, and relationship management
