Job Purpose (Job Summary):
The Executive Assistant provides administrative support to the CAO and Global Head of Services, Technology & Security (STS); may provide support to several additional other key direct reports.
Key Responsibilities / Duties:
• Provide direct administrative support to the CAO & Global Head of STS and other designees.
• Maintain calendars and schedules for meetings, appointments, travel, conference calls, etc.
• Monitors and decisions (within scope of authority) all incoming emails, responds as appropriate.
• Create and edit agendas, PowerPoint presentations, Excel spreadsheets and other materials for meetings; takes minutes during meetings as needed.
• Provide backup support for Executive Assistants as needed.
• Special projects as assigned.
Qualifications
Work Experience / Knowledge:
• 8+ years of administrative support within a professional office environment
• Comprehensive experience booking both domestic and international travel
• Preference for experience in supporting executive level, global leaders
• Familiarity with the asset management industry is a plus.
Skills / Other Personal Attributes Required:
• Excellent skills in Microsoft Word, Excel, PowerPoint, and power-user for Outlook.
• Ability to handle confidential and sensitive material in a highly professional manner.
• Mature judgment, willingness to take responsibility, and initiative to make decisions within the scope of responsibilities.
• Ability to handle and manage multiple tasks in a fast-paced work environment
• Strong organization skills and attention to detail.
• Flexibility; the ability to set priorities and work well under pressure to meet deadlines.
• Excellent verbal and written communication skills.
• Ability to work independently and proactively while maintaining a customer service-oriented attitude in a fast-paced and changing environment.
Formal Education:
(minimum requirement to perform job duties)
• A Bachelor's degree and/or equivalent work experience.
Working Conditions:
• Normal office environment with little exposure to noise, dust and temperatures.
• The ability to lift, carry or otherwise move objects of up to 10 pounds is also necessary.
• Normally works a regular schedule of hours, however hours may vary depending upon the project or assignment – this position is overtime eligible.
• Hours may include evenings and/or weekends on call by cell phone and/or email
