Office Management:
• Coordinate and attend office meetings
• Schedule appointments, coordinate calendars, schedule travel
• Prepare and execute expense reports to ensure accurate and timely reimbursements
• Perform clerical duties to include producing deliverables, handling office mail, maintaining inventory and supplies
• Maintain organization and presentation of front lobby and overall office
• Greet guests at reception area when necessary
• Oversee main office line and direct calls accordingly
Marketing Deliverables:
• Lead marketing efforts through E-blasts and flyers
• Support regional efforts to expand office outreach both internally and externally
• Produce and distribute timely and accurate deliverables such as LOIs, RFPs, tour books, surveys, pitches, etc
• Provide support to team in required software and applications such as Adobe Creative Suite, Microsoft Office, CoStar, CRM, etc
Brokerage Operations:
• Assist team with preparing and updating client-specific reports
• Provide exceptional administrative support related to client deliverables, marketing support, and project management in support of business units
• Produce timely and accurate documents (reports, memos, proposals, charts, agreements, presentations, etc.)
• Assist and participate as needed for industry functions or client events
REQUIREMENTS:
• Bachelor’s degree; marketing or business background preferred
• Experience in administrative support role
• Proficient in Adobe Create Suite
• Customer service oriented; precise written/oral communications; extreme attention to detail; highly organized
