Opportunity Overview
The Edward Jones Connection Administrative Assistant is responsible for providing administrative and coordination support to the EJC department and leadership team around their day-to-day work and scheduling.
Key Responsibilities of the position include (but are not limited to):
• Handling phone calls, e-mail, faxes, mail including processing returned mail and updating accounts with mail restrictions
• Responsible for all administrative/functions of new associate on-boarding (ordering new supplies, new hire forms, compliance spreadsheet)
• Updating distribution lists, phased rollout information, including area and region maps
• Organizing multiple calendars, scheduling meetings, and conference calls
• Creating and maintaining spreadsheets, PowerPoint presentations, preparing reports and meeting notes
• Preparing travel arrangements and processing travel and business expense reports
• Maintain department or area files and be main contact for paper management (copies, mail, faxes, etc.)
• Order supplies and ensure office equipment is functioning.
• Process payment of invoices and travel/business expense reports.
• Technology support for in-house meetings (AV, Webex, etc.)
• Completing projects as assigned by leaders
• Take and distribute notes from Team and/or Department Meetings
• Coordinate special events / orders for team (birthdays, accomplishments, family illnesses and deaths)
• Responsible for Business Continuity Planning
• Support individual IT questions (outlook, shared directory, etc.)
• Contact for Time and Absence system questions and timesheet submission
• Facility needs including system access and facilities requests
Position Requirements
• 2+ years of related experience
• Effective verbal and written communication skills
• Capability to anticipate and fulfill administrative needs for the department and key leaders using sound judgment in setting priorities
• Initiative and ability to work independently to include managing time and following through
• Effective computer and math skills
• Advanced proficiency with the entire Microsoft Office Suite
• Strategic thinking and process improvement
• Capacity to work in a fast paced environment managing priorities and work flow to ensure superior results are delivered
• Good organizational skills with emphasis on attention to details
