As a part of the Office Management team, you will work directly with executives and will be responsible for performing a number of administrative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced corporate environment.
Responsibilities:
• Executive Support
◦ Provide administrative support to Senior Managers in the Investments+/Science group.
◦ Calendar management – arrange and prioritize complex scheduling and logistics.
◦ Serve as point person for leadership visits, meetings and all event arrangements to include conference room bookings and catering.
◦ Coordinate travel arrangements (domestic & international), including hotel, air, car, organize itineraries and process T&Es (when needed).
◦ Prepare and distribute documents such as agendas, presentation materials, etc.
◦ Maintain and update organizational chart, contact list, shared drives, distribution lists and office seating chart.
◦ Handle multiple concurrent assignments with varying priorities and adjust work accordingly to meet deadlines.
Experience & Education:
• Bachelor’s degree or equivalent
• Minimum of 4+ years of experience as an Executive Assistant reporting directly to senior management.
Skills & Abilities:
• Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software.
• Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities.
• Exceptional interpersonal skills.
• Friendly and professional demeanor.
