Job Description
The Executive Assistant on the Global Investment Product Team within Global Wealth & Asset Management will support 3 global executives and their teams. The Global Investment Product Team is responsible for all third party and internal asset manager relationships across the John Hancock and Manulife investment platforms. This includes the selection, development, and ongoing review of a wide range of products, including mutual funds, institutional accounts, investment-only retirement portfolios, and college savings plans.
Key Accountabilities:
• Type and produce reports, letters, graphics and other documents and handle routine correspondence as directed. Assemble information for use in reports and meetings.
• Compose letters, memoranda and other documents from dictation, verbal direction or knowledge of Company policy and procedures.
• Schedule appointments and meetings for department personnel. Screen mail and telephone calls, direct requests to the appropriate person and follow-up on replies. Independently responds to questions and situations which arise during Manager's absence using discretion and judgment based on knowledge of business unit(s) activities.
• Make global travel arrangements for department staff and process related expenses reports.
• Arrange function room, menus and travel for large and small external meetings in accordance with Company travel policies.
• Handle administrative projects as assigned by management and ensure the accurate and timely completion of tasks. Projects assigned may include research, correspondence or other work of the department. Independently gather information, test for reasonableness and analyze data. Make recommendations regarding change and solutions to issues or problems.
• Train and assist administrative assistants and other department personnel in the utilization of software packages or Department/Company policies, procedures and administrative systems.
• Track expenses and invoices and ensure payments are coded to the appropriated account. Report on monthly variances and research discrepancies.
• Organize and attend meetings and act as recorder of the proceedings. Coordinate follow-up actions.
• Day to day responsibility for Business Continuity and Records management
• Assist with liaison with Board of Trustees
• Handle projects as assigned by management and ensure the accurate and timely completion of tasks. Projects assigned may include research, correspondence or other department assignments. Independently gather information, test for reasonableness and analyze data. Make recommendations regarding change and solutions to issues or problems
• Other duties as assigned
Knowledge and Skills:
• College Degree preferred; 5-year’s work experience.
• Strong organizational skills, verbal and written communication skills.
• Ability to gather and consolidate data from various sources.
• Excellent design and presentation preparation skills.
• Ability to set priorities, handle multiple tasks, and meet deadlines.
• Flexible and adaptable to rapidly changing priorities and the ability to handle confidential information.
• Typing and proficiency in Windows based computer applications (Microsoft Office) and the operation of office equipment, specifically Word, PowerPoint, and Excel.
