Responsibilities
• Create, proof, edit, and correct documents, memos, reports and letters for Partners, clients and associates, ensuring timeliness and accuracy.
• Provide administrative support to ensure deadlines are met, while maintaining a positive, collaborative work environment.
• Produce high quality work in compliance with word processing guidelines and firm standards, including proofreading and report compilations. Follow-up proactively as necessary.
• Process Tax documents.
• Coordinate seminars and group presentations, to include handling reservations, travel arrangements, food services, etc for multiple offices.
• Coordinate and support office/multi-office events, volunteering, health risk screenings, etc. for three office locations.
• Follow up directly with clients in regard to products and services and communicate proactively.
• Answer phones and greet clients.
• Assist other administrative staff with overflow work.
• Develop and demonstrate a general knowledge of the firm’s products and services.
• Prioritize deadlines as necessary.
• Filing and other electronic dissemination and organization of information.
• Ordering of office supplies and production materials
• General upkeep and organizing of daily office needs.
• Assisting with onboarding and offboarding of new associates and the duties surrounding these tasks.
• Entering firm expenses
• Ordering/distributing promotional items
• Maintain research library
• Scheduling the use of A/V equipment and ensuring proper set-up and usage
• Scheduling conference rooms and handling hospitality arrangements
• Administrative processing of client invoices
• Management of multi-function devices and printers in office.
• Assisting in training associates on administrative functions and software
Qualifications
In the State of Montana, we are committed to Equal Pay for Women in accordance with Executive Order 12-2016. The pay range for this role is $14.50 - $22.50
