Position is responsible for gathering, creating and managing all hotel-related details for meetings and conferences from start to finish within the approved budget on behalf of LPD or specified internal client. Creates and maintains relationships with internal clients as well as hotel partners. Reports to National Events & Meetings Manager and assists with completion of tasks and projects often related to contracting future conferences, communications and processes.
Essential Duties:
• Creates and maintains Event Intake Forms for all assigned programs. Duties include but are not limited to calendar invite creation for LPD clients, contract details overview, gather and confirm general conference meeting needs, catering menu creation based on approved budget, order appropriate AV within approved budget, general session planning and execution, liaise with LPD and other RSM stakeholders on meeting needs outside the scope of the general conference as needed (special meetings). Review all hotel related documents for accuracy including BEOs/GDRs, rooming lists, AV orders and invoices.
• Accommodations management to include creation of rooming list or book now listing, send appropriate communications to participants, maintain internal accommodations mailbox for assigned programs and overall rooming list management for specified programs.
• Completes and manages NEMO-related fields in LPD course tracker in order to provide breakout details to hotel in the most efficient manner. Mail merge and pdf creation from excel to ensure hotel receives data as clean as possible.
• Contracting and addendums: works directly with procurement manager to initiate venue searches for tier two programs, makes recommendation to clients, requests and reviews agreement accordingly, receives appropriate approvals and processes final contracts. Reviewing current contracts and working with LPD to ensure contracts still meet the needs of the program; initiating and completing addendums when deemed appropriate.
• Completes special projects as delegated by National Events & Meetings Specialist (e.g. communication templates, etc.)
• Works on-site as deemed necessary.
Education:
• Bachelor’s degree
• Certified Meeting Professional Certification helpful but not required with appropriate experience and skill set
Experience:
• Minimum of 3 years’ experience in planning and execution for conferences or events
• Ability to work effectively under time constraints and deadlines
Technical Skills:
• Proficient skill level in Microsoft Office suite including Word, Excel, PowerPoint, and Outlook required
