Job Responsibilities
Administrative
– approximately 65% of time
• Manage internal JLL reporting including in house systems such as CapForce
• Calendar and Travel Management, including scheduling appointments and travel arrangements
• Process expense reports, pay invoices, ship marketing materials
• Plan and coordinate small sized industry functions and client entertainment events, either directly or in conjunction with marketing department
• Contact internal and external resources for information
• Event management – schedule client events, order deal trophies, send Christmas gifts
• Filing documents, mostly electronically on DropBox-like platform, Box.
• Proof reading documents for basic grammatical, spelling, formatting errors
• Gather notes from Brokers and insert into client reports
Marketing– approximately 35% of time
• Vendor Management – solicit proposals, provide directions, manage schedules of third party vendors such as photographer, printer, and others.
• Manage online datarooms as well as key client and distribution lists, including updates to contact information.
• Create mass email campaigns via CRM / email client similar to Mail Chimp.
• Assist team with preparing and updating client-specific reports.
• Work with appropriate contact to maintain intranet/extranet sites for client and property purposes.
Education/Training
• Bachelor’s Degree or commensurate experience strongly preferred
Years of Relevant Experience
• 3+ years in marketing/administrative support preferred
Skills/Knowledge
• Strong verbal and written communication skills across mediums Organization, planning, Attention to Detail Ability to work in fast paced environment Time Management Adobe Creative Cloud / InDesign Suite (helpful, not mandatory)
