Ameritas Life Insurance Corp is seeking a Corporate Facilities Sr. Analyst to drive the business by managing the various software applications utilized by the Corporate Facilities department. These currently include OfficeSpace, FMX, Design CAD and the procurement portal of Peoplesoft. Responsibilities include all functions necessary to keep software applications up to date; report development and implementation; Liaison with IT; and subject matter expert.
Additionally, this position will support the corporate purchasing function for the insurance companies and broker dealer nationwide with specific responsibilities for maintaining the eProcurement on-line system and managing the office supply procurement process and/or photocopier fleet. This position also provides project management and administrative support to the Corporate Facilities Department.
Essential Job Functions
• Manages the OfficeSpace software application for the enterprise including daily upgrades, report development and implementation, rent calculations and space management reporting.
• Manages the FMX software application for the Maintenance operations and works closely with the assigned maintenance associates for daily updates and report development.
• Own the analysis and reporting for the applications, ensuring that data is provided to management in a timely manner for decision-making purposes.
• Assist in space planning support utilizing Design CAD.
• Manage financial review documents on regular intervals for assigned area and monthly review of all documents.
• Manage purchasing, procurement, expense and invoice processes and procedures; oversee the system use & maintenance as required.
• Provide guidance on building metrics, scorecards, and dashboards for the assigned area, ensuring data is accurate and reliable.
• Coordinate with project managers on review of capitalization and project costs to ensure all necessary documentation is received, signed off and provided to appropriate parties.
• Serves as liaison with IT associates for troubleshooting, problem resolution, upgrades and testing of all PeopleSoft software changes, modifications and upgrades for the procurement portal.
• Manage and facilitate all facets of supply management activities for the insurance companies and broker dealer.
• Executes entire purchase order process for the various lines of business within the Ameritas organization.
• Implement sourcing strategies needed to support corporate and divisional objectives.
• Manage all contracts and agreements for assigned commodities.
• Management of suppliers, costs, quality and delivery performance and drives continuous improvement in all aspects of the procurement process.
• Maintain the enterprise financial system package used for eProcurement (including training).
• Manage and maintain all corporate purchasing guidelines and procedures for the entire enterprise.
• Responsible for testing and coordinating all eProcurement upgrades as delivered by Oracle/Co-Sentry.
• Responsible for updating maintaining all catalogs in Peoplesoft purchasing system.
• Create all necessary fixed assets within the Peoplesoft purchasing system following enterprise procedures and guidelines.
• Develop policies that adhere to the Model Audit Rule and demonstrating compliance by participating in the annual testing.
• This position must maintain a daily working relationship with Accounts Payable and Asset Management in all purchasing aspects.
Requirements
• Bachelor's Degree in facilities management, business administration, or related field required; Work experience in a similar role may be substituted in lieu of education requirements
• 3-5 years of experience in facilities or a similar role required
• PeopleSoft and eProcurement experience preferred
• Advanced experience with Microsoft Office products preferred
• Ability to multi task and manage projects
• Experience with office management, preventative maintenance and design software preferred
• Strong written and verbal communication skills required
