Summary
The administration team manager position is responsible for the management of a team of benefits administration employees. The administration team manager is an expert in all department benefits systems, services and products supported by their team. The position collaborates with department management, department leads and other team managers to ensure cohesive and consistent department processes and procedures are established and followed. The team manager contributes to excellent customer service and teamwork by interacting with internal team members, clients and their designated contacts as needed through client meetings, webinars, phone calls and email.

• Serve as primary team manager for assigned team members, including performance management, and career development responsibilities.
• Maintain knowledge of general health benefits, insurance carrier and company terminology and of benefit plans and services related to clients.
• Coordinate workload balance for team.
• Coordinate time off requests, schedules and overall staffing coverage.
• Support interviewing and hiring.
• Track productivity and team analytics.
• Monitor backup phone service coverage.
• Familiarity and expertise with systems software and platform. Manage and support all process controls and related audits.
• Troubleshoot escalated concerns and issues from clients/participants and internal contacts. Respond and communicate as needed.
• Drive process organization, improvements and efficiencies within the team or department.
• Support sales and client management functions for client/prospect visits and presentations.
• Oversee training for new hires, changes and job development.
• Maintain confidentiality and keep department/team, client and participant HIPAA compliant.
• Contribute to development and maintenance of department documentation and efficiencies, and provide overall department/team support as needed
Supervisory Responsibility
This position generally supervises 5-15 team members.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This is largely a sedentary role however, some filing may be required. This would be the ability to lift files, open filing cabinets and bending as necessary.
Travel
The position may require up to 10% travel. At times, travel may be outside the local area and overnight.
Required Education and Experience
• Bachelor’s Degree in related field or equivalent experience
• Two to three years prior management experience in office environment preferred
• Prior work experience with healthcare benefit plans, insurance or payments
• Multiple years prior work experience with customer service for implementing and/or administering tax-advantaged accounts, medical claims processing, group benefit plans, and/or insurance plans and payments preferred
• Excellent communication and organization skills
• Ability to read workplace rules and procedures, speak with poise and confidence, using correct English
• Technical aptitude, and ability and proficiency with Microsoft Office, software and computer applications; advanced Excel preferred
