The Trust Tax Coordinator is responsible for providing analytical and technical support to the Trust Tax Department. Responsible for coordinating the preparation and processing of tax returns for multiple states and various regional federal areas.
PRINCIPLE DUTIES AND RESPONSIBILITIES:
1. Coordinates the tax return processing. Ensures correct handling and delivery of tax worksheets. Manages the filing of returns; ensures that tax information is accurate and timely. Responsible for following up with return preparers. Responsible for processing various types of tax returns including fiduciary income, individual income, partnership, corporate, federal and state withholding. Coordinates payments to taxing authorities and responsible for accuracy and timeliness. Manages the refunds owed to accounts and ensures refunds are received as appropriate.
2. Monitors Tax Tracking System to ensure that all returns are filed in a timely manner and that all deadlines are met. Coordinates extensions or additional work with Trust Tax Account Manager.
3. Initiates Opening/Closing Account tax procedures and performs account level coding to ensure appropriate tax information is generated. Works with Private Bank and Institutional Wealth Trust Officers directly in order to receive proper tax related documents at account opening. Reconciles Tax Vendor system to ensure all accounts are accurately transmitted from trust accounting vendor. Performs basic account-level reviews in Tax vendor system to ensure accurate reporting of tax information.
4. Directly responsible for reconciling Tax Suspense Account, resolving discrepancies, and reporting to Trust Tax Manager on a monthly basis. Coordinates fee assessment and collection by monitoring the reporting and collection of fees to the Trust Tax Manager and Trust Controller. Prepares the annual accounting required by Publicly Traded Partnerships which involves the tracking of shares amongst the client base. Also reviews K-1s received from Publicly Traded Partnerships for accuracy and distributes to various tax accountants to be used for preparation of tax returns.
5. Prepares client payroll tax returns on a monthly, quarterly, and annual basis.
6. Responsible for logging notices received from taxing authorities; conducts preliminary review, and forwards to Trust Tax Administrator. Reports notice status to Trust Tax Manager at assigned intervals.
7. Provides backup for other duties in area; assists in special projects and reports as requested by management.
8. Receives telephone calls and responds to questions from clients, taxing authority personnel, and outside accountants and attorneys. Resolves inquiries and problems and routes complex inquiries to appropriate Trust Department personnel. Obtains information necessary to complete individual tax returns from customer and/or Trust Administrators.
KNOWLEDGE, SKILLS and ABILITIES:
• Advanced knowledge of basic Federal and State tax law and regulations. Fiduciary tax accounting knowledge is helpful
• Excellent PC and software application skills, including spreadsheet and word processing applications; ability to operate a 10 key by touch
• Excellent interpersonal, verbal, and written communication skills
• Excellent organizational skills; ability to prioritize and handle multiple tasks simultaneously
• Demonstrated ability to handle significant fluctuations in volumes while meeting extremely stringent deadlines
• Ability to improve functional efficiency, streamline and improve methodology
• Excellent analytical, coping, and problem solving skills
This level of knowledge is normally acquired through completion of an Associate’s Degree in Accounting and 2-3 years accounting experience or 5-6 years equivalent experience, preferably in tax accounting.
