Retail Projects Operations Manager
Job Summary
We are seeking an Operations Manager to join our Corporate Solutions team in Southern California. The Operations Manager will support a dynamic, fast-paced CRE team executing a significant number of Retail Banking design and construction projects. This position will be Virtually Based. The JLL Project and Development Services (PDS) team provides end-to-end project management services including all accounting and auditing functions associated with the capital projects and the use of a dynamic real-time project management software platform.
The Operations Manager will be a part of the larger account PMO and will be dedicated to the Retail Portfolio team including the Project Director, Program Managers Project Manager and Project Coordinators who work as an integrated team. This position will serve as a Player/Coach with both People Manager and processing responsibilities.
Job Responsibilities - Player
• Lead all Project Operations Support for the Retail Portfolio; partner with fellow leaders to drive Program and Project success.
• Oversee Project Set Up process for compliance with Client and JLL system requirements.
• Track and support both the Best Practice Program and Project Lessons Learned Program to ensure the team is driving value from their projects and deriving value from the JLL Platform.
• Support and/or Lead Cross-Portfolio and Cross-Account Collaboration Efforts to maximize the efficiency of our Project Tools and Work Flow.
• Support Sr. Operations Manager in creating & implementing process changes.
• Track, Analyze and Report on Portfolio CPIs and KPIs; utilize findings to support ongoing adjustments across the Portfolio.
• Understand and Champion JLL tools and manage the development and implementing of additional JLL tools.
• On-going support of movement to Principle Model.
• Drive and Support the integration of ALL interdependent reporting and tracking to extract maximum efficiency and value.
• Lead the On-boarding and Training of current and new Retail Portfolio staff to minimize learning curve and maximize team effectiveness.
• Lead and Support Vendor Compliance and Management efforts.
• Comply with all Jones Lang LaSalle policies and procedures, including but not limited to ethics and business practice.
• Any and all other duties and tasks assigned.
Job Responsibilities - Coach
• Manage and direct a small team of Project Coordinators including time/expense approval; provide meaningful and ongoing performance feedback.
• Ensure that Project Director is fully and accurately informed of all project, internal and client issues affecting the Project Coordinators.
• Assist in training and developing JLL team members in the skills and understanding of firm procedures, methodology and practices expected for a successful project implementation.
• Manage vendor and project team performance to ensure compliance with contractual requirements, all regulating entities and client expectations including meeting/exceeding Client agreed upon KPI goals.
• Manage work allocation amongst coordinators and support other Portfolios when needed.
Knowledge, Skills and Abilities
• 6+ years practical experience in a project administration/accounting position required.
• Experience in construction management or real estate preferred.
• Highly organized with strong analytical skills.
• Strong interpersonal skills with an ability to interact with executive level external and internal clients.
• Exceptional organizational skills with the ability to identify and manage priorities.
• Excellent written and verbal communication skills.
• Detail oriented.
• Ability to multi-task and work both in a team and independently.
• Highly proficient with Microsoft Office Suite and Advanced Excel skills.
• Associate or Bachelor Degree from an accredited institution in Accounting, Business, Architecture, Engineering or Construction Management strongly preferred.
