Facility Manager
Job Responsibilities:
Operations Management
• In consultation and collaboration with Senior Management, oversee the operation, staffing, performance and development of the Integrated Facility Management service delivery.
• Support the Senior Facility Manager in the implementation of short and long-term projects for the client project
• Develop and implement the annual management plan; accomplish key performance indicators as required by the MSA
• Support the monthly/quarterly/annual reporting as required by the account leadership
• Assist with the development and implement the annual management plan for the buildings within the area
• Monitor customer satisfaction and develop and execute plans to increase it
• Coordinate discussions with each supplier regarding performance expectations and reviews
• Source local services and goods needed to perform day to day operations through 3rd party suppliers.
• Conduct negotiations with suppliers as required to ensure best value for money and meet the JLL account procurement policy
• Collaborate with account Sourcing and Operations teams in sourcing and vendor management activities: define scope, coordinate supplier walk-through, and manage national and regional supplier performance at property level.
Relationship Management
• Ensure client satisfaction by providing a seamless interface into client real estate organization; demonstrate leadership, responsiveness and creativity
• Measure and manage client feedback, written and verbal throughout the year
• Conduct formal and informal relationship meetings with key stakeholders
Process Management
• Improve safety performance by changing level of awareness and changing behaviors
• Share best practices with the assigned owner of best practices for Jones Lang LaSalle Facilities Management
• Develop and implement innovative programs and processes that reduce short and long term operating costs and increase productivity. Work closely with the Senior Facility Manager and the client
Financial Management
• Support the development and manage the annual operating budgets for each building in the area
• Support the development and management of the capital and expense budget
• Develop monthly/quarterly variance reporting on all operating budgets for each property on a timely basis
• Help develop and get approval on the annual capital plan for each building, interfacing closely with the account leadership
Compliance
• Ensure compliance with Jones Lang LaSalle minimum audit standards
• Life Cycle Asset Maintenance – ensure all key equipment PM’s are completed as per schedule
• Ensure compliance by completing all related training and action items to compliance programs and audits
• Ensure all safety, environmental, and standards are strictly adhered to within managed facilities
• Ensure compliance with portfolio wide initiatives and required local, state and federal laws and regulations that pertain to the operating of facilities
Required Knowledge, Skills and Abilities
• Strong organizational and management skills
• Strong interpersonal and supervisory skills
• Excellent verbal and written communication skills
• Strong presentation skills
• Computer proficiency (MS Office, Share Point, CMMS system, etc.)
• Experience in supervising vendors and technicians during normal and off hours including weekends when necessary
• Experience in matrix management organization desirable
• Knowledge of real estate, telecommunications, furniture, accounting and building systems helpful
Minimum Required Education:
• Minimum of 8 years industry experience required either in the corporate environment, third party service provider or as a consultant
• Bachelor’s degree or equivalent work experience in Facilities Management with management/technical emphasis; MBA desirable
