The Role
As the Administrative Assistant II, you are responsible for providing administrative and general business support to the VP, National Director of Enterprise Initiatives. In this role, you will handle a wide range of administrative related tasks. This role requires working on assignments where judgment is required in resolving problems and making routine recommendations.
Responsibilities:
Officer Organization and General Administrative Support
• Act as primary resource for internal and external contacts, facilitating a professional image of the company
• Provide administrative support including answering calls, scheduling meetings, taking meeting notes, processing/approving expense reports, reconciling corporate credit card statements, and filing, scanning, organizing department files
• Monitor monthly budget activity for the department; including but not limited to budget variance, expense auditing and submission follow up
• Prepare and organize presentation materials
• Prepare agendas and make arrangements for staff, committee, vendor, and other meetings
• Ensure materials are uploaded or removed in a timely fashion by direction of the content owner
• Coordinate special projects and additional related duties as assigned by managers, including event planning and coordination
• Arrange travel schedule and reservations for training team
• Manage team calendar
• Conduct purchasing activities and disbursement requests related to various expense activities; process invoices/payments as appropriate
• Manage vendor invoicing and reconciliation process
• Coordinate onboarding of new employees including interview schedules, physical space acquisition, preparing and ordering all necessary equipment, requesting appropriate security access, etc.
• Manage office and meeting supplies and order replacements
Enterprise Sales Support
• Assist with key initiatives and sales programs to include:
◦ Coordination/communication with field leaders.
◦ Gather and report metrics regarding sales and sales forecasting
◦ Liaison for speaker/sponsor communications
◦ Tracking training requirements
◦ compliance review process for presentations and handouts
Presentation Design and Execution
• Develop and prepare professional level Excel and PowerPoint documents, reports, and presentations
• Prepare professional and accurate responses to correspondence
• Interact with internal and external stakeholders across all levels
Education
• High School Diploma (or equivalent) or 4+ years of comparable work experience, Bachelor’s degree preferred
Experience
• 5+ years of experience in an administrative or executive support position that directly aligns with the specific responsibilities for this position
• Experience in financial services/insurance industry preferred
• Intermediate proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Access, Visio); Strong PowerPoint, Excel, and Calendar Management skills preferred
• Experience with Ariba procurement and expense management is a plus
• A demonstrated track record of consistently meeting and/or exceeding performance expectations
• A demonstrated ability to juggle and complete multiple detail oriented tasks, without sacrificing quality and accuracy.
• Possesses a bias for action and avoids workplace distractions
• Drives performance targets to completion
