Description
Job Purpose
The Receptionist represents the company as the first point of contact by handling incoming calls, forwarding calls to the appropriate destination, greeting all visitors professionally and directing them to the appropriate department or associate.
Essential Job Duties & Responsibilities
• Greets all vendors, clients, and visitors and contacts the necessary associate to escort them.
• Adds visitors to electronic building security list.
• Answers any incoming calls and routes accordingly.
• Performs various tasks for setting up new hires, including key tags, nameplates, business cards, etc.
• Places and receives messenger service orders and packages and notifies recipients.
• Maintains associate seating assignments for areas of responsibility.
• Orders office supplies for areas of responsibility.
• Coordinates records management, request, storage and retrieval.
Schedules conference rooms, sets up conference calls and assists Administrative Assistants as needed.
Other duties
• Other duties as assigned.
Qualifications
Knowledge, Skills & Abilities
• Ability to work independently, but also as team player with the motivation to take on additional tasks as required.
• Ability to take initiative and provide follow-up.
• Excellent customer service and interpersonal skills.
• Excellent verbal and written communication skills.
• Proven ability to prioritize, multi-task, accept directives and meet departmental objectives.
• Strong attention to detail and organizational skills.
• Ability to handle confidential information.
• Knowledge of Microsoft Word, Excel, and Outlook.
Education and Experience
• High School Diploma or equivalent required.
• 2+ years of relevant experience in similar role required.
• Previous customer service experience required.
