Job Description
The Executive Assistant will be providing confidential and high level administrative support to the Chief Marketing Officer and the Direct to Consumer leadership team.
DUTIES/RESPONSIBILITIES
• Manage an extremely active calendar, compose and prepare correspondence, arrange complex and detailed travel plans, itineraries, and agendas
• Plan, coordinate, and ensure the CMO’s schedule is followed and respected
• Work closely with key stakeholders to keep them well informed of upcoming commitments and responsibilities, follow up appropriately and timely, and review email inbox/outbox numerous times daily
• Prioritize conflicting needs; handle matters expeditiously, proactively, and follow- through on projects to completion
• Provide support and perform as a true partner in the role while developing and maintaining strong working relationships with a variety of senior-level clients while resolving routine inquiries
• Prepare expense reports, AMEX reports and T&E reports
• Handles various invoices through approval process
• Manage projects and tasks in a timely manner
• Provide assistance in all administration issues for department
• Interact with multiple levels of personnel
• Pro-active on rearranging meetings as necessary
• Create and modify PowerPoint presentations as necessary
• Manages time allocations and time sheets
• General clerical duties such as filing, faxing, shipping and photocopying
• Coordination with Executive Assistants at the corporate office in Malvern PA
• Addison office management duties as assigned
Qualifications
EDUCATION
• Bachelor’s Degree preferred or commensurate combination of education and experience
EXPERIENCE
• Min of 5+ years’ experience working as an administrative assistant working with senior level executives in a corporate environment. Strongly prefer experience working with CIO or CTO.
• Should have solid understanding of IT Organization and functions. It would be beneficial for the candidate to have project management experience.
SKILLS
• Exemplary verbal and written communication and customer service skills;
• Experience with detail work including handling travel arrangements and heavy scheduling;
• Computer proficiency in a Windows-based environment (Word, Outlook, Excel, Visio, and PowerPoint) as well as web-based research skills;
• Analytical and problem solving skills;
• Excellent organizational skills and the ability to multitask;
• Ability to service both internal and external customers
