We are currently seeking an Office Assistant for our Walnut Creek office. This individual is committed to providing premier client service while performing a wide variety of work assignments in a team environment. The ideal candidate must have strong communication skills and the desire to work independently. General duties will include greeting/assisting clients, managing a multi-line phone system, clerical and administrative support, conference room, office and workstation management and maintaining common areas within the office. You must have strong PC skills, highly organized, detail oriented, and have a demonstrated ability to multi-task and prioritize workload.
Responsibilities:
• Answers phone lines and directs callers and visitors
• Places catering orders for meetings
• Copying and binding of financial statements, presentations and proposals; reviews work for quality and accuracy
• Responsible for sending daily FedEx shipments
• Receives packages from various delivery services
• Coordinates and maintains conference rooms; work rooms and hoteling offices/cubicles; reviews conference room schedules for meetings and events and set-up accordingly
• Maintains kitchen and office supply room, including ordering and stocking of products
• Provides proof reading support as a member of the regional administrative team
• Provides administrative support as needed with the regional word processing team
• Special projects as needed
Qualifications:
• High School Diploma/GED required
• Minimum of 1 year of office support experience required
• Excellent phone etiquette
• Superior client service and interpersonal skills
• Consistent punctuality and dependability
• Exceptional customer service and interpersonal skills
• Excellent verbal and written communication skills
• Attention to detail and accuracy
• Strong teaming skills
• Ability to manage multiple tasks and prioritize workload to meet deadlines
• Able to work with minimum supervision
• Able to operate a multi-line phone system
• PC proficient with knowledge of Microsoft Word and Excel
