Key Responsibilities
• Manages the monthly invoice process, which entails the following:
◦ Interacts with landlords and vendors to ensure all monthly invoices and payments are accurate and received.
◦ Interacts with managers across the department to ensure invoices are processed in a timely manner.
◦ Reviews that all invoices contain accurate expense codes and authorizing approval signatures, if necessary.
◦ Acts as the department liaison with Accounts Payable and ensures all department invoices are processed by month end.
• Assists with expense accruals; ensuring they are recorded, cleared and/or processed each month with Accounting.
• Assists with landlord reconciliations related to common area maintenance (CAM) costs.
• Manages the processing, recording and reporting of all checks received from vendors.
• Processes all check requests from Administration and Real Estate managers as needed.
• Provides ad hoc support to budget owners regarding invoice-related issues.
Job Qualifications
• Basic understanding of Accounting Principles
• Previous invoicing processing experience preferred
• Intermediate Microsoft Outlook, Excel and Word proficiency
• Basic financial acumen and problem-solving skills
• Good verbal and written communication skills
• Very effective time management and ability to manage workflow in a fast-paced environment.
• Ability to follow up, focus on details, and take initiative
• Interpersonal skills to work in a team environment
• Basic skills in use of office equipment (copier/scanner/fax)
