Job Description
We are Allstate Digital Ventures, Allstate’s newest group tasked with finding new consumer value and developing new, technology-enabled, and ethical business models.
Provide comprehensive administrative and organizational support services to assigned leaders, including meeting and travel scheduling, coordinating and producing written and verbal correspondence, coordinating internal and external communications, slide production, liaison activities and related ad hoc requests, duties and projects under the direction of and as assigned by leaders following established company policy, operating practice and protocol.
Responsibilities:
• Manage all day to day scheduling activities for assigned leaders including client and non-client meetings.
◦ Maintain appointment calendar, coordinate with other internal and external contacts; schedule and reschedule appointments as needed on a daily basis to ensure consistency with predetermined objectives.
◦ Coordinate all travel arrangements for assigned leaders to include air travel, hotel, car, and other reservations as required.
• Coordinate or produce written correspondence and presentation-quality slides in a timely and accurate manner.
• Track and process leader’s expense and time reporting for submission to Finance.
• Organize and provide file management support to leaders.
◦ Maintain accurate records and files including information related to business initiatives, management and administration.
• Organize all internal meetings for leaders to include conference room scheduling and ordering/setup of meals.
• Coordinate or produce written correspondence and presentation-quality slides in a timely and accurate manner.
• Maintain leader’s contact list in Outlook. Ensure contacts are resolved and classified appropriately.
• Support a variety of internal programs and initiatives as required or assigned, e.g. organization of team activities, participation in business initiatives, etc.
• Perform other duties as assigned or required.
Job Qualifications
• Bachelor’s degree required
• Minimum 3-5 years related administrative support business experience (preferably in a professional services setting).
• Typing skills of 55+
• Strong proficiency in Microsoft Windows, Outlook, PowerPoint and Excel
• Critical thinker and thought partner, with curiosity and capability to understand the business context and priorities surrounding the work
• Excellent organization and time management skills; strong scheduling skills
• Highly motivated self-starter, track record of taking initiative to achieve results
• Effective written and verbal communication skills
• Strong customer service focus
• Meticulous attention to detail and accuracy
• Works cooperatively with other team members, strong interpersonal skills
• Handles situations with poise, understanding and tact
