Executive Assistant
Western & Southern Financial Group has an immediate opportunity for a Executive Assistant.
Summary of Responsibilities:
Provides administrative support to the Senior Vice President, Public Relations & Corporate Communications department. Expedites work through proper channels in the absence of managers, maintains regular and follow-up files and confidential data. Arranges meetings and travel plans as directed; independently prepares correspondence, maintains records, and creates and maintains presentations, charts, graphs, spreadsheets and databases. Proofreads work from Public Relations & Corporate Communications departments. Coordinates activities related to multiple internal and external programs and events. Communicates with senior officers, community leaders and government officials. Works with some supervision and is responsible for making a minimal range of decisions, escalating to Manager when appropriate and updating Manager on a regular basis.
Position Responsibilities:
• Organizes and expedites the flow of work through the Senior Vice President’s office, maintaining any documentation, and filing and initiating any follow-up actions required. Maintains Senior Vice President’s calendar, scheduling or canceling appointments as well as keeping Senior Vice President apprised of the status.
• Responds to inquiries and directs, prioritizes and provides information to all levels of internal and external customers making requests of the group, including supporting the 802 request process.
• Prepares complex correspondence, reports and presentations utilizing word processing, spreadsheet, presentation and graphics software.
• Proofreads copy from Public Relations & Corporate Communications departments.
• Coordinates the Partner-in-Education activities.
• Supports all Public Relations & Corporate Communications teams as needed.
• Performs other duties as assigned by management.
Selection Criteria:
• Proven experience as an administrative assistant or secretary to senior-level managers handling administrative duties independently with the authority to act on behalf of managers where appropriate. Cite examples of experience supporting multiple executives in a professional setting where independent decision-making and self-initiative were demonstrated.
• Demonstrated excellent verbal and written communication skills with experience conveying information to internal and external customers in a clear, focused and concise manner. Possesses excellent proofreading and editing skills, demonstrating a strong use of the English language to include exemplary knowledge of the elements of grammar and spelling proficiency. Will be expected to provide examples of original written work, i.e., correspondence, reports, presentations, memos, etc.
• Demonstrated experience maintaining a calm and professional demeanor when handling demanding situations.
• Proven ability to professionally represent the Company and the Public Relations & Corporate Communications department.
• Proven experience coordinating multiple projects/assignments simultaneously, and completing assigned tasks accurately and on a timely basis. Must demonstrate strong attention to detail with excellent organizational skills. Expected to cite examples of organization and time management methods used to manage or prioritize workload demands.
• Demonstrated experience working independently under limited supervision. Experience must include identifying and resolving problems where independent decision-making and initiative were demonstrated.
• Proven ability to keep a high level of confidentiality and use discretion on all matters. Experience handling confidential information and correspondence, and a familiarity with methods and approaches to maintaining confidentiality.
• Proven ability to be flexible and adapt easily to changes in policies, procedures and priorities. Cite examples.
Work Setting:
• This position works in an office setting and remains in a stationary position for long periods of time while working at a desk, on a computer or with other standard office equipment, or while in meetings.
Educational Requirements:
• High school diploma or GED.
Computer Skills and Knowledge of Hardware & Software Required:
• Proficient in the use of Microsoft Word.
• Proficient in the use of spreadsheet and presentation software.
Certifications & Licenses (i.e., Series 6 & 63, CPA, etc.):
• None required.
Position Demands:
• Extended hours required during peak workloads or special projects.
