Executive Assistant Overview
As the Executive Assistant to the Chief Information Officer (CIO), you will report to the CIO and work independently with moderate supervision. This challenging role requires someone who is confident, intellectually curious, and service driven, with exceptional organizational skills and attention to detail, and the poise and professionalism to engage with the CEO and other senior executives, members of the Board of Directors, other colleagues within Equifax and outside clients and vendors. You will work on a variety of complex and varied duties, analyzing situations and using your strong initiative to prevent and resolve problems.

As Executive Assistant you will skillfully manage details as you obtain the information you need to support the CIO who relies on you.
Responsibilities
• Provide support for the planning, scheduling and coordination of meetings for the CIO, a key function of this role. Planning and coordination include:
◦ Establish timing for annual Technology meetings on the CEO Corporate Calendar and develop an annual Technology Calendar of recurring team meetings.
◦ Manage CIO’s Outlook calendar and daily meetings including reserving necessary resources, communication to attendees, coordinating development of presentation materials, obtaining appropriate a/v and technical services, and ordering catering.
◦ Manage and coordinate larger CIO offsite events involving the Technology leadership team including facility/hotel contracts, banquet orders, a/v services, and participant room/air/ground needs. Attend offsite meetings to provide onsite coordination and handle administrative needs as they arise.
• As the point of contact for the Technology Center, act as liaison between the CIO and CEO to communicate and coordinate any intersecting Technology Center and Corporate HQ activities that may arise throughout the year.
• Act as liaison between the CIO and the Corporate Secretary’s Office to coordinate quarterly Board of Director’s Technology Committee agendas and materials, and to communicate with appropriate Technology team members as required.
• Maintain the Technology Leadership Share Point Site, a repository for shared information utilized by the team.
• Analyze situations and exercise sound judgment in determining the appropriate course of action, keeping executives and other stakeholders informed of progress or changes that may arise due to evolving priorities.
• Act as an information resource for internal and external customers, using judgment in determining the immediacy and relative importance of issues at hand when deciding on an appropriate course of action.
• Work with sensitive information with absolute discretion and manage a high volume of details with efficiency and accuracy.
• Build and maintain positive relationships with Senior Leadership Team members, their executive assistants and others on their teams as necessary for the smooth running of the CIO’s office.
• Perform general administrative duties such as answering and directing calls to the CIO, making copies, filing, and updating logs and manuals. Manage and update highly confidential files, records and shared drives. Process expense reimbursements, invoices, and purchases orders as well as update memberships in a timely fashion.
• Serve as host to visitors and act as the public face to build positive relationships with the general public.
• Assist with special projects as requested.
Job Skills and Experience:
• Higher education in related discipline (business administration or management); 5-7 years prior experience working for senior executives; or equivalent combination of education and experience.
• Proficiency with Microsoft Office products, including Outlook, with the ability to learn additional programs and software.
• Ability to solve problems and take ownership of assigned responsibilities, identify issues in advance and propose solutions for team consensus.
• Flexible team player who thrives in an environment requiring the ability to effectively prioritize, coordinate and manage multiple concurrent projects.
• Develops rapport with a variety of people, uses diplomacy and tact when dealing with others and builds a spirit of unity within and across teams/departments.
• Excellent interpersonal skills, with the ability to confidently and effectively communicate with co-workers, members of the Board, senior management and others inside and outside of Equifax.
• Prior experience with planning and coordinating meetings, conferences and/or events for clients and staff.
