A day in your life as a Facilities Coordinator
Under the direction of the Manager, this position is primarily responsible for receiving and managing work requests for preventive maintenance and general maintenance and repairs at all the Hawaii Bank facilities. If applicable or appropriate, assists in the business unit’s compliance with applicable laws and regulations, regulatory requirements and Bank policies and procedures, including but not limited to Fair Banking, Anti-Money Laundering laws and regulations, Bank Secrecy Act and USA PATRIOT Act. In addition, this position is responsible for demonstrating the Excellence in Sales/Service (ESS) philosophy by participating in and practicing ESS disciplines and behavior.
We’ll give you these important responsibilities…
• Manages the work request process which includes receiving inquiries/requests, creating work orders and forwarding to appropriate groups for fulfillment. Monitors daily activities of online service. Reviews daily work order reports, researches and resolves discrepancies and coordinates with in house staff and vendors to address concerns. Provides feedback to branches/facilities as to status of work and scheduled preventive maintenance. Identifies recurring issues and escalates to Vendor Manager or service provider as necessary. Assists with work order completion, provides status updates and closes as necessary. Generates reports, as required, to track number of work orders received, outstanding work orders and approximate time to complete work orders.
• Coordinates and schedules in-house technicians and/or outside contractors to perform minor repairs to Bank facilities such as parking lots, walls, windows, other structural elements, landscape irrigation systems and hardware and fasteners for furniture, fixtures and equipment including desks, file drawers, counters, chairs, cabinets, doors and gates, repair damaged surfaces for furniture, fixtures and equipment such as partitions, teller lines, counters, doors and gates, and installs signage per approved Bank standards.
• Coordinates outside contractors and vendors to provide preventive maintenance services for air conditioning and ventilation equipment at all Bank of Hawaii branches throughout the State of Hawaii. Conducts periodic visits to the branches to ensure work is being performed per approved Bank standards.
• Assists with requests for Special Events at Bank Tower/Bank Building. As applicable, arranges communication with Business Unit or Vendor for Indemnity forms, prepares notices for Bank’s internal message posting, setup of room/location, after hours or additional services for janitorial, HVAC, lighting, security, parking, etc. In addition, assists with arrangements for caterers, entertainment and delivery of other services for special events. For each event, ensures quality service, safety standards, minimal disruptions to operations, and careful handling of furniture, surfaces, ensuring surrounding environment is returned to acceptable condition at event conclusion. Evaluates outcome of events and plan process improvements for future functions.
• Performs all other miscellaneous responsibilities and duties as assigned.
Qualifications

Education:
• Bachelor’s degree from an accredited institution or equivalent work experience.
Experience:
• Minimum 2 - 3 years of relevant experience in facilities maintenance and repair or general construction.
• Requires minimum 3 – 5 years of experience with basic carpentry, plumbing, HVAC and electrical knowledge and repair skills.
• Vendor management experience preferred.
Technical skills:
• Demonstrated proficiency and expertise with personal computers in a networked environment and Microsoft applications (Outlook, Word, Excel, and PowerPoint) or similar software.
• Knowledge of or ability to use Bank software and systems.
Other Job Qualifications:
• Demonstrated verbal and written communication and interpersonal communication skills.
• Able to work independently with minimal supervision.
• Must be a self-starter who is able to meet deadlines and work under pressure, manage multiple projects while exercising critical thinking and analytical skills.
• Possesses organizational skills and the ability to retain and deliver information efficiently.
• Demonstrated experience working in a team-based work environment with all levels of management.
• Must be able to provide own transportation or to operate a vehicle with a valid driver’s license and commute as required.
• Travels by air as required for periodic visits to Hawaii Bank facilities to inspect required maintenance/repair tasks.
• Able to work flexible hours to include evenings, weekends, and holidays as necessary.
• Must be able to move/lift objects up to 30 lbs.
