A day in your life as a Facilities Specialist:
Under the direction of the Manager, this position manages the database and various records/inventories for the Corporate Real Estate & Facilities Division (CREFD). Also, provides operational and logistic support for CREFD. If applicable or appropriate, assists in business unit’s compliance with applicable laws, regulations, regulatory requirements and Bank policies and procedures, including but not limited to Fair Banking, Anti-Money Laundering laws and regulations, Bank Secrecy Act and USA Patriot Act.
We’ll give you these important responsibilities…
• Creates and maintain CREFD master database as the single point of reference for the Division, incorporating asset, equipment, energy usage, infrastructure, construction and warranty information of all Bank of Hawaii facilities. Ensures tenant compliance with insurance requirements and actively pursues proof of coverage at designated levels. Accesses database information to respond to inquiries and generate management reports.
• Supports and maintains various Bank inventories:
◦ Branch Key Inventory. Manages process for placing key orders, receipt and distribution including cost allocation. Keeps current key inventory records and a log of key receipt forms, from Vendors and Tenants.
◦ Record Inventory. Manages inventory list of stored records, including processing requests for storage, retrieval and return of department records/files to remote storage facility.
◦ Work Orders. Assists the Facilities Coordinator in assigning and following up upon work orders coordinated through CREFD, paying particular attention to vault and branch security equipment service.
◦ Check Control. Assist Accounts Payable with bi-monthly check cutting process and function as back-up support for maintenance of the AOAO checks.
• Prepares written drafts of notices and common area postings. Coordinates collection of materials to create PowerPoint presentations for Executive Management. Researches and investigate a variety of subjects as applicable or requested. Maintains meeting minutes and finalizes for distribution. Occasionally prepares mail requiring special handling or hand delivers outgoing mail. Sends/receives scanned items and faxes transmittals. Provides additional back up for Work Request process, on Purchase Orders, SharePoint and other operational tasks during peak periods or staff absence. Assists with the department emergency response coordination and communication.
• Assists Property & Vendor Manager with parking facilities at FPP, BPC, AFC, CPF, HOK and 801 South Street, coordinating validation sticker purchase and sales for Bank cost centers, conducting monthly audits of parking and validations, preparing executive parking allocation reports, parking offender reports and conducting the quarterly audit of vendor-controlled parking lots. Responsible for maintenance and registration of vehicles under CREFD control.
• Coordinates special events scheduling and set-up at Center for Excellence, Café Blue and Surf Rider Room to ensure that lighting, air conditioning, parking and elevator access, and furniture arrangements are handled properly with CREFD assets.

Education:
• Bachelor’s degree from an accredited institution or equivalent work experience.
Experience:
• Minimum two to three years of relevant experience in financial services or property management industries, facilities related industry or responsibilities or equivalent work experience.
• Requires strong database experience and familiarity with Accounts Payable and related accounting functions.
• The position also requires a general working knowledge of basic hand tools and measurement devices.
Technical Skills:
• Demonstrated proficiency and expertise with personal computers and Microsoft applications (Outlook, Word, Excel, Access, SharePoint and Power Point), as well as property management software.
• Demonstrated proficiency with database management and ability to create Power Point documents for executive presentations.
Other Job Qualifications:
• Demonstrated verbal and written communication and interpersonal communication skills.
• Able to work independently with minimal supervision.
• Must be a self-starter who is able to meet deadlines and work under pressure, manage multiple projects while exercising critical thinking and analytical skills.
• Possesses organizational skills and the ability to retain and deliver information efficiently.
• Demonstrated experience working in a team-based work environment with all levels of management.
• Must be able to provide own transportation or to operate a vehicle with a valid driver’s license and commute as required.
• Travels by air as required.
• Able to work flexible hours to include evenings, weekends, and holidays as necessary.
• Must be able to move/lift objects up to 30 lbs.
