We are searching for a skilled Administrative Assistant to join the Moss Adams Advisory Services group (MAAS). This role offers the opportunity for a broad range of administrative responsibilities providing support to the MAAS group. This position requires outstanding, proactive customer service skills and strong attention to detail. It is the chance to support a dedicated and fun group of professionals. Responsibilities:
• Provides Executive-level support to Partners, Directors, and Senior Managers, which may include:
◦ Reviewing calendars, scheduling, and anticipating logistical opportunities or needs to assist
◦ Assisting with time and expense reports
◦ Coordinating travel
◦ Assisting with Client Relationship Management
◦ Tracks and assists with monthly client billing
• Formats, edits/proofreads, and types a variety of correspondence including engagement letters
• Contributes to the New Client Acceptance and Elite Client Setup processes by collecting information and obtaining necessary approvals
• Creates/sets up ProSystem FX (PFX) binders for project documentation retention
• Responsible for QC review of PFX binders at the close of each project
• Serves as a point of contact for internal and external clients including: screening phone calls, ensuring client messages are communicated to the appropriate client service staff, and following up with clients, when appropriate
• Coordinates meetings, training, and events; reserves conference rooms/meeting space, coordinates CPE application and process, video and teleconference setup, arrange for catering, and clean up
• Assists with research and compiles data
• Negotiates project deadlines and schedule changes as necessary
• Shares in maintenance of internal SharePoint Site
• Assists with training & development-related tasks including new hire onboarding
• Back-up support for reception and facilities
• Other projects as assigned
Qualifications:
• High School Diploma/GED required; College coursework/degree preferred
• Minimum of 3 years of experience in an administrative role is required
• Outstanding proofreading ability
• Advanced skills with Microsoft Office
• Strong skills in English grammar, and spellingAttention to detail, logic, and accuracy
• Strong interpersonal and decision-making skills
• Strong multi-tasking abilities
• Strong written and verbal communications skills
• Ability to work with minimal supervision
• Capability to work in a fast-paced environment and under pressure
• Ability to adapt to change in directions and priority
• Flexibility with overtime to meet deadlines
