Business Overview:
This position is part of a Data & Controls (D&C) management team that oversees and coordinates all aspects of the BNP Paribas North America Controls group. The position is involved in all activities of the group, including general oversight and coordination activities of various teams under the Controls domain, including but not limited to maintenance of monthly/yearly budget tracking, acting as a point of contact for any Controls related topics with head of D&C, serving the role of D&C PMO and a liaison amongst various teams within BNPP North America group to ensure smooth operation of D&C department
Responsibilities:
• Manage business management and PMO activities for all Data and Control (D&C) teams
• Manage senior management presentation decks
• Assist head of data and controls to review and validate management documents
• Cross-functional work in assisting D&C Head in project planning. Manage projects assigned by head of data and controls (project management)
• Study and Analysis D&C transversal matters (as assigned by D&C Head):for root cause analysis and report production
• Handle transversal activities of D&C management team
• Coordination and communication with senior stakeholders and all D&C head of departments.
• Manage monthly D&C management committee meetings
• Define & maintain process standards, organizational charts, operating procedures and templates
• Act as the policy manager, ensuring timely update, upload and approvals
• Heavy Cross-Functional work in assisting Controls Head in project planning & strategies inclusive of new trainings roll out, creation and maintenance of processes, procedures, process flows, drafting of documentation.
• Maintenance and monthly follow up of all project cards, action plans, project tracker, progress reporting to Controls Head
Responsibilities Cont’d:
• Manage the documentation and procedures that support any of new/ongoing initiatives.
• Presentations preparation and quality review
• Dashboard review, development and rationalization
• Serve as the liaison between Controls Head and respective business Heads
• Serve as a point of contact for any business related needs within Controls
• Informational responsibilities: such as disseminating relevant information within Controls, collection of all necessary documentation to ensure adherence to operational/regulatory needs of the department, announcements,
• Ongoing event planning and coordination of : bi-annual Town Halls, Team events
• Manage Financial Planning for all Data & Control teams:
◦ Annual budget preparation inclusive of:
◦ Budget planning, budget review and calculation across Controls Department; Budget entry via Hyperion Tool; Cost Allocation preparation
◦ Monthly budget review inclusive of:
◦ Budget tracking and variance analysis; monthly reporting to Controls Head; reconciliation of program specific budgets, cost tracking and level setting
◦ Manage CIB of Tomorrow financials (long term financial goals and milestones management)
◦ Act as a liaison between Finance teams and D&C teams
◦ Handling any ad-hoc queries, reconciliations and updates to cost centers, headcount transfers, budget transfers, etc.
◦ Forecast Submissions
◦ Analysis of all spend vs budget
◦ Accrual compilation and submission
Minimum Required Qualifications
• Education - Bachelor's degree in Business and Financial Management
• 7 + years’ experience in business management and PMO activities, preferably within a financial services firm
• Excellent:
◦ Budget monitoring skills
◦ Knowledge of Excel, Power Point, MS Office products
◦ Organizational, documentation skills reflecting detail orientation and business communication skills
◦ PMO skills
Preferred Qualifications:
• Education - Master’s degree into Business Management
• Self- Starter, able to handle requests of various nature from root levels
• Detail-oriented and strong presentation skills
• Ability to:
◦ Organize processes and people
◦ Multi-task on an ongoing basis
• Problem solving and analytical skills
• Proactive, with the ability to think transversally
• Ability to interact effectively with people at all levels of the firm (including senior management)
