What You'll Do/Need
The Administrative Assistant to the Senior Property Manager has duties and responsibilities in the areas of property management and administration, along with vendor communication and tenant relations. This position works closely with internal team members in tenant services, accounting and engineering, as well as external vendors for project bids and special events.
Responsibilities
• Assist director of triage and transition with new property transfers
• Assist with developing and implementing property management procedures
• Attend all property management meetings as requested by the senior property manager
• Communicate effectively and maintain positive working relationships
• Coordinate training of new team members and other Property Manager Assistants
• Correspond with vendors and prepare appropriate bids from vendors
• Facilitate special event requests
• Follow up on processes and procedures with property management teams
• Manage senior property manager calendar
• Provide administrative support for team members during new property acquisitions
• Schedule and coordinate meetings within property management teams and prepare materials for meetings
• Update documents and communications on the shared database for team members
• Work with the building inspector to ensure standards are met at all properties
Requirements
• Minimum of two years of administrative experience
• Ability to work independently and handle multiple projects and tasks
• Ability to take initiative and contribute positively to the team
• Excellent written and verbal communication skills
• Intermediate knowledge of Microsoft Office suite
• Strong attention to detail and accuracy
