Job Description
Reports to the Vice President, Deputy General Counsel of Regulatory, Corporate and Enterprise Risk Group. In addition to traditional Executive Administrative Assistant support, this role will be focused on providing strong support regarding Bank Board processes and regulatory presentations. This role will also be responsible for administrative support to several additional attorneys. In order to be successful in this role, the individual will need to be detail oriented, and have the ability to prioritize tasks while working in a fast paced environment. Strong interpersonal, written and oral communication skills are required as this role requires frequent interaction with personnel across the organization.
Support Preparation and Production of Materials for Bank Board meetings
• Establish workflows for meetings & track progress
• Schedule all internal Board related meetings
• Confirm receipt of materials by deadlines and follow-up as necessary
• Prepare documents for review meetings and postings
• Assist in the production and distribution (internal and external) of hard copy board books
Regulatory Presentations
• Prepare internal reporting presentations for on regulatory relations matters, including reporting on key metrics and developments
• Assist in the preparation of presentations to regulatory agencies
Administrative Support:
• Performs advanced, diversified and confidential clerical/assistant duties requiring broad and comprehensive experience, skill and knowledge of organization policies and practices
• Initiates routine and some non-routine correspondence
• Composes responses to inquiries and directs to appropriate personnel
• Distributes requests for information, tracks progress and follows up on actions taken
• Uses initiative to ensure matters pending response are completed in a timely fashion
• Completes typing assignments that may be of a confidential nature
• May track time and attendance for team
• Screens telephone calls and visitors, and resolves routine and some complex inquiries
• Schedules and maintains calendar of appointments, meetings and travel itineraries, and coordinates related arrangements
• Takes complete ownership of specific, ongoing projects, independent of manager
• Works collaborative with other personnel in the Department for special projects
• Offers solutions for continuous process improvements and efficiencies
• Promote a risk-aware culture, ensure efficient and effective risk and compliance management practices by adhering to required standards and processes.
Skills
Experience/Skills/Education
• Ability to exercise good judgment, discretion and maintain confidential and sensitive information
• Excellent organization skills and attention to detail
• Ability to work in fast-paced environment with frequent tight deadlines; Ability to prioritize and manage numerous projects simultaneously under deadline pressure
• Working collaboratively with colleagues in Law, business unit staff, and senior management
• Strong technology skills including a strong working knowledge of Word, Excel and PowerPoint.
• Strong written and oral communication skills
• Bachelors degree
• At least 3-5 years of relevant experience
