Eastern Mountain Sports / Bob's Stores is seeking the right candidate to join our Production and Sourcing department as a Production & Sourcing Associate. This role reports ultimately to the Head of Buying and is located at the Home Office in Meriden, CT.
The Production & Sourcing Associate is responsible for the coordination of product development and the on-time delivery of production within the published seasonal calendar expectations.
Primary Accountabilities:
• Support the management of healthy relationships between SDI USA LLC (Bob’s Stores and Eastern Mountain Sports) and suppliers. Act as a vendor liaison regarding information from the internal teams.
• Collaborate with internal partners to ensure that Bill of Materials, Spec Packages, Purchase Orders, etc. are delivered on-time and accurately to maximize production efficiencies.
• Support all aspects of production specifically the planning & tracking of orders. Work and communicate with cross-functional internal teams and factories to meet quality standards and ensure shipments are on time. Track all orders through production from PO issue to final sample approval and order shipment.
• Classify duty category; update cost information in seasonal worksheets and communicate to merchant teams.
• Coordinate with overseas Quality Control to ensure vendor compliance is to Company standards and requirements (Code of Conduct, Vendor Partner Manual, logistics flow, packaging, etc.). Coordinate with Quality Control to arrange in-line and final inspection requirements. Assist in production issue resolution and troubleshooting at factory.
• Work with accounting department and overseas factories on payment terms, deposits, and invoices. Approve shipping documents from vendors and check packing lists to ensure all product is being shipped correctly.
Knowledge and Skills Preferred: To perform successfully in this position, an individual must be able to satisfactorily carry out each activity listed below. The requirements are representative of the knowledge, skills and/or abilities commonly used in the position.
Prior experience in sourcing, product development, and/or production product line management for retail, wholesale or catalog is preferred.
• Costing: Understand HTS classification, landed costs and ability to add landed costs to buy plan.
• Deliveries: Must be able to promptly communicate any delay. Review units shipped and tolerance. Resolve “out of tolerance” issue with merchant and factory.
• Fabric Testing: Direct and monitor the raw material and finished product testing process in accordance to the development calendar. Document all test results, highlighting any testing issues. Collaborate with appropriate cross-functional teams and lab partners to resolve any substandard test results. Review test package/individual test costing with approved 3rd party labs to identify most cost efficient locations.
• Communication: Strong communication and negotiation skills. Daily email communication with overseas / domestic vendors and team members. Work consistently with Quality Control team on pre-production and final production.
• Vendor Relations: Vendor Manual: Must develop full understanding of requirements laid out in Vendor Manual. Oversee testing and labeling by working with mills and factories to make sure goods meet company testing standards. Approve correct wash care labels based on testing.
• Vendor Set Up: Request and send all documentation needed to onboard new factories. Issue vendor numbers, make sure new vendor has access to RVCF.
• Additional Responsibilities: Attend fit meetings and manage time of sample cycle. Track and review WIP reports. Collaborate with Tech Design team and factories to achieve set dates for handover, fit samples, and TOPs. Process import invoices (7501, freight and customs clearance). Update master PO tracker regularly with all pertinent information. Create and maintain line plan throughout season.
• Must haves:
◦ English literacy, vision, hearing, keyboard skills, writing.
◦ Must be very detail oriented and organized. Ability to multi-task.
◦ Computer skills: Excellent knowledge and use of Office and Word.
◦ Extreme proficiency in Excel mandatory. PLM experience preferred but not required.
