External Job Description
Performs a wide range of administrative and office support activities in support of the IT Executive(s). Ensure the efficient operation of the office by facilitating administrative systems, policies, and procedures. Perform administrative support duties for the department as directed.
Position Responsibilities
• Responsible for scheduling and calendar coordination for department leadership
• Manage the departmental calendar and set reminders to ensure due dates and deliverables are achieved
• Function as the primary point of contact for internal and external communications. Produce written communication representing desired leadership tone and content
• Coordinate monthly department meetings, create and distribute agenda, take meeting minutes, and follow up on action items
• Assist with gathering various status reports/updates, ensuring they are completed and delivered on-time
• Take notes and capture meeting minutes in various IT meetings as directed
• Support the on-boarding and orientation of new associates in the department
• Create and distribute presentations
• Coordinate travel arrangements for IT associates
• Order and maintain supplies for the department
• Manage ad-hoc reports, special projects as needed often requiring independent discretion and follow up
• Monitor budgets, including coding and processing of all invoices, and projects
• Coordinate special events including conference room reservations, invitations, and meeting material preparations
• Perform departmental reception duties including managing the phone for the IT Executive
• Assist with corporate expense reporting to ensure reconciliation in a timely manner
• Assist in coordination of statement of work, master service agreements, and non-disclosure agreements for the IT Executive
Requirements
• Minimum of three years of administrative experience supporting executives and providing a high level of customer service, retail and merchandising experience a plus
• Excellent proficiency in Word, Outlook, PowerPoint, advanced proficiency in Excel, strong technical ability
• Proven ability to compose and create spreadsheets, memos correspondence, presentations and other professional documents
• Strong multi-tasking and time management skills
• Strong organization skills
• Excellent communication and customer service skills
• Proven ability to take the lead and demonstrate initiative
• Ability to manage confidential information professionally
• Facilities/space coordination/management responsibilities
