IMMEDIATE MANAGER: CEO
JOB CLASSIFICATION: Exempt

LOCATION: Manhattan Beach, CA
THE PURPOSE:
To assist and support CEO in performing duties for company with extreme confidentiality. Provide support to legal department with various matters including, but not limited to: general business transactions, reviewing and drafting documents, real estate leases, intellectual property, litigation and resolution of disputes. Work simultaneously support the legal department.
THE ROLE (what you are accountable for)
• Handle complex and sensitive projects.
• Organize, maintain and create confidentiality of all department files and information.
• Receive and screen mail and email as well as prioritize urgency and importance of documents and conveyance to supervisors.
• Coordinate, schedule and prepare for meetings.
• Draft and preparing documents for execution.
• Organize and prepare for Board Meetings. Coordinate and gather binder materials as well as assemble board binders (always keeping in mind the confidential nature of the materials).
• Plan and prepare Travel approval forms, book domestic and international travel and all related matters.
• Prepare expense reports and reconcile corporate credit cards.
• Assist with drafting and execution of various Equity Grant Agreements.
• Renew various business licenses as well as file business documents with corresponding states.
• Maintain and update corporate binders for True Religion Apparel Inc. and Guru Denim Inc.
• Code and process department invoices as well as assist accounting department in month-end accruals for the same.
• Prepare power point presentations and reports (excel).
• Special projects as necessary.
• Manage internal relations and daily interaction with various departments, employees and clients.
• Manage relations with outside counsel.
• Punctuality, dependability and attendance are critical.
• Support Talent Operations projects as needed.
• Maintain and order supplies for departments.
YOU ARE:
• Able to follow detailed instructions to the letter and on a timely basis.
• Professional in your business dealings and maintain a high level of confidentiality.
• Able to recognize the importance and relevance of the documents handled.
• Able to recognize important matters to follow up and manage.
• Detail oriented and proactive.
REQUIRED MINIMUM EXPERIENCE
• 3-5 years of Executive Assistant
• Typing speed of 80wpm (minimum)
• Proficient with Microsoft Suite, MS Word and Excel mastery required.
• High level of confidentiality, discretion and judgment
• High School Diploma
PREFERRED EXPERIENCE
• Bachelor’s Degree
