General Description:
The Executive Assistant is responsible for providing executive level administrative support to the Senior Vice President GMM and Vice President of Design.
Responsibilities:
• Coordinates domestic and international travel arrangements, calendar, agendas, budgets, record keeping, expense review and correspondence.
• Anticipates, responds and resolves all administrative issues.
• Review emails for priority information and meeting requests as directed.
• Understands key dates and when deliverables are due to coordinate meeting shifts or provide feedback on why meetings dates are firm.
• Drafts, revises and publishes meeting agendas & recaps and project plans for meetings after receiving executive approval.
• Prepares Executive(s) for meetings with print outs of required reports, summaries and materials for meetings.
• Provides project, meeting and department support for the creation of presentations and status updates, owns conference room set-up/tear-down and catering requests and meeting with peers to present and resolve calendar issues & finalize agendas.
• Onboards new and transferred associates within the department.
• Schedules team meetings and touch bases with direct reports.
• Responsible for, in coordination with other Executive Assistants, the maintenance of the corporate and brand calendar.
• Opens and sorts mail; forward to others when necessary.
• Other duties as assigned.
Requirements
Work Experience & Education Requirements:
• A minimum of 5-7 years of experience in executive administrative positions with experience supporting multiple executives.
• Prior corporate retail experience strongly desired.
• Strong computer skills with emphasis on MS Windows, Outlook and Word, Power Point, and at least 1-2 years’ experience using the Calendar/Group Scheduling functions on a daily basis.
• Exceptional organizational skills; the ability to coordinate information from multiple sources in an efficient manner and juggle multiple tasks simultaneously.
• Ability to exercise independent judgment and make decisions.
• Accurate and detail-oriented.
• Proven reputation of honesty and accuracy.
• Maintains a high degree of confidentiality and discretion.
• Sense of urgency; ability to manage frequent/constant changes in a fast-paced environment.
• Strong communication skills, verbal and in writing, demonstrating clear, concise abilities.
• Proven ability to work within a team and to manage relationships at all levels within the organization.
