External Job Description
The Executive Assistant to the brand's Chief Merchandising Officer (CMO) will provide professional, confidential administrative support to the Senior Executive and the business; develop a thorough knowledge of Senior Executives' span of control along with company policy and procedures. The incumbent will represent the Senior Executive to conserve their time; prepare correspondence, documents and reports, research, scheduling, and perform other administrative duties as assigned. This position will be an integral part of the preparation of various presentations, including for the Board of Directors. Their key contacts are senior level, requiring diplomacy, discretion, intuitive judgment, confidentiality and professionalism.
Key Responsibilities Include:
• Knowledge of corporate and department systems, implementation of corporate financial practices.
• Impeccable communication skills and a professional disposition are a must. This position will interact with all levels of executive management and outside professionals.
• Superior ability to compose and create spreadsheets, memos, correspondence and other professional documents. Exceptional attention to detail and accuracy required.
• Effectively maintain appointment schedules and internal calendar. Organize team meetings, town halls and setting meeting agendas. Plans and schedules meetings using Outlook, coordinate off sites/ conferences, and travel. Prepare expense reports; schedule travel.
• Ability to create presentations and prepare communications on behalf of the Senior Executive, and other ad hoc responsibilities/projects as needed.
• Acts as a business super user/owner of the PLC (Product Life Cycle). Tracks and prioritizes PLC related issues, questions and enhancement requests. Manages calendar changes, invites. Identifies issues and reports to CMO.
• Builds and manages relationships with the end-users and gathers future-state business needs to develop solutions utilizing technology. Assists with the development of metrics, both within the technology and business organizations. Has a strong understanding of information systems, business processes, the key drivers and measures of success for the business, and the short- and long-term direction of the business and technology.
• Responsible for the collection, analysis, review, documentation and communication of business needs and requirements. Participates in system optimization projects to support future state business processes. Creates updates and delivers system training materials for the business as pertains to the PLC; Manuals, job aids, FAQ’s and system related enhancement material.
• Office management skills, including maintaining supply inventory and interaction with equipment maintenance vendors to ensure smooth office operation.
Requirements
Education:
• Bachelor’s Degree or equivalent years of experience.
Experience:
• 8+ years of prior administrative experience(s) required in a similar role. Preferably supporting a Chief Merchandising Officer and/or Merchandising & Planning Departments.
Skills:
• Excellent computer skills necessary, including advanced skills in Word, Excel, and PowerPoint. Knowledge of Oracle a plus. Excellent phone skills. Ability of effectively screen calls and efficiently answer and direct inquiries, including taking thorough messages.
• Exceptional organizational skills. Keeps files and work area organized and able to both independently, proactively and collaboratively.
• Strong process design skills; knows how to apply process analysis, design tools and techniques.
• Strong interpersonal skills to build relationships among the brands utilizing supported technologies.
• Outstanding communication (verbal and written) skills; able to articulate system related technical topics for non-technical audiences to quickly collaborate on end user processes and procedures.
• Project management skills; ability to multi-task and keep all project tasks on schedule.
• Proficient in merchandising systems, including Microstrategy, a plus.
