Administrative Assistant, CALVIN KLEIN 205W39NYC - CALVIN KLEIN
The Administrative Assistant is responsible for providing administrative support to the Sr. Executive Administrative Assistant, in support of the Chief Creative Officer.
PRIMARY RESPONSIBILITIES/ACCOUNTABILITIES OF THE JOB:
• Maintains contacts and calendar appointments, scheduling, departmental meetings, and conference arrangements.
• Handles logistics associated with meetings, appointments and conferences
• Ensure catering and facilities support is organized to meet the needs of the CCO for meetings and general meals as needed, ensuring the highest level of service standards.
• Responsible for maintaining and managing the CCO’s office environment, ensuring cleanliness is maintained and ambiance is welcoming and to the standards of the CCO.
• Develops strong collaborative relationships with the administrative and operation team members.
• Proactively manages and prioritizes incoming and outgoing communications including external/internal mail, telephone calls, reports, etc.
• Makes travel arrangements and completes detailed expense reports. Confirms meetings and create itineraries for trips
• Creates, formats and edits correspondence and presentations with precision and minimal direction
• Follows up on various activities to ensure completion and that deadlines are met.
• Process invoices and generate seasonal or quarterly reconciliation reports
• Maintains filing system & references, Business Continuity Plan, and order office supplies
• Facilitates new employee set-up
• Works independently on specific projects as assigned
QUALIFICATIONS & EXPERIENCE:
Experience:
• Minimum 5- 7 years’ experience as an administrative assistant, preferably with experience in a fashion brand
Education:
• Bachelor’s Degree (or equivalent) preferred
Skills:
• Detail-oriented and highly organized with a desire to maintain schedule, filing systems and calendar
• Experience with booking and scheduling international executive travel is a must.
• Strong sense of urgency; strong prioritization & follow-up skills
• Ability to handle high stress situations with grace and composure.
• Ability to work long hours and weekends during peak periods (i.e. Fashion Shows, Events)
• Excellent at handling changing priorities; multi-tasking with finesse.
• Excellent verbal and written communication skills, including ability to draft correspondence with minimal direction
• Must possess exceptional interpersonal skills
• Must be proactive and resourceful with all tasks
• Strong knowledge of Excel, Word & PowerPoint
• Comfortable with online meeting software, video conference, and remote meeting set-up
