Coordinator, Global Communications – Estée Lauder and AERIN Beauty
JOB FUNCTION:
Supports the Global Communications department through the coordination of visual, financial, event organizational/ logistical needs and liaises directly with international market PR contacts for their day-to-day requirements
RESPONSIBILITIES:
Department Admin
• Coordinates online press room including labeling, posting and removal of all images and documents
• Liaises with the creative department to ensure timely receipt of all approved brand visual assets
• Coordinates naming of all rights and usage to any brand visual assets that are provided to international markets on behalf of Global Communications
• Processes all invoices and international re-bills for the department
• Responsible for meetings, orderly filing, maintenance of product and BTS footage product closets, updated brand distribution lists, brand awards, etc.
• Collects and files key international press coverage and creates international newsflashes to be shared with global brand
• Maintains and regularly updates weekly status document, image document and other charts that ensure the organization of the department
• Responsible for product comps and market samples orders and brand spokesmodel product mailings
• Compiles logistics and department needs for ad campaign Behind-The-Scenes – shot lists, liaison with production agency - as well as delivery and filing of B-roll footage and images
• Responsible for all international tour requests of Mrs. Estée Lauder’s office
• Supports department on compiling and creating presentation content
Executive/ Market support
• Answers daily asset and interview requests from international markets in a timely manner
• Provides all relevant press materials to PR contacts – copies of press releases, images, written QAs, etc.
• Processes expenses for Executive Director (position currently open)
• Organizes room set up and hair and makeup for brand executive interviews
• At times will be asked to support the Senior Vice President and Vice President on senior management presentations
Events/ spokesmodel support
• Supports Global Communications team on all international events – regional press events, market tours with brand spokespeople and editor visits to New York – with travel, transport, and on-site organization and logistics, including hotel, gifts, room drops, agendas etc.
• Prepares agendas, hotels charts and transport charts for all global press launches and department travel
• Books international travel and visas for department and spokespeople participating in international press trips, including scientists, makeup artists
• Liaises with external suppliers for events such as hotels, caterers, calligrapher, florist, etc.
• Direct face-to-face interaction with global PR Managers, global spokesmodels, international editors and influencers during events, office visits etc.
Qualifications
Bachelor’s degree and 0-2 years’ experience required, preferably in a fast-paced deadline-oriented, creative environment. Should have solid organizational, presentation, communication and writing skills along with an extraordinary attention to detail and the ability to prioritize and manage multiple deadlines simultaneously. Must have strong computer skills, particularly in PowerPoint, Excel, Photoshop and Keynote. Knowledgeable and up to date on the current beauty trends, particularly those circulating social media. Also, must be well groomed, a team player and creative thinker.
