JOB FUNCTION
To provide administrative support and assistance to the maintenance manager, liaises with contractors working at facilities; tracking and maintaining department budget, purchasing of materials and suppliers.
RESPONSIBILITIES
Manage Preventative Maintenance schedule
• Coordinated with contractor and site leads to ensure PM is executed within schedule timeframe and with limited interruptions to the business.
• Review work orders and PM documents, arrange repairs if necessary
• Review and organize PM documents as per GMP.
Process and Assign Facilities Requests
• Type (1) to be addressed within 5 working days.
◦ Customer requests, i.e. corkboards, whiteboards, computer, trays coat hooks, an all other general purpose requests.
• Type (2) to be addressed within 2 working days.
◦ Health and safety requests, i.e. Fire extinguishers eye was stations, visual safety aids, and safety barriers.
• Place service calls with approved contractors/vendors
• Monitor vendor agreements and documentation
Monitor and maintain Facilities Department budget for all SC sites
• Initiate shopping carts via SAP/SRM systems
• Confirm and process invoices to Accounts Payable
• Suggest cost savings initiatives
• Keep track of all monies being spent within cost center in the department; notify manager when range of spending has come to close.
Coordinating assignments within Facility and with contractors working at Facility
• Issue Work permits to contractors
• Any issues with contractor will be looked into and resolved.
• Work not completed up to standard / incomplete, contact owner and discuss.
• Questions asked by on site workers answered in prompt and professional manner.
Contract Cleaning Staff
• Evaluate key performance of contract janitorial company
Other Activities
• Picking up material.
• Travel between building, i.e. from 100 Alden Rd and 161 Commander Blvd.
• Assist other technicians with their projects, when required
• Complete a visuals inspection of buildings.
• Participate in audits for GMP, ESSA, etc.
Health and Safety
• Comply with ELC Contractor Safety Program
• Proactively identify and resolve safety concerns
• Observe and conform to all corporate EH&S guidelines and procedures
• Actively participate and evaluate PSR’s
• Participate in the establishment of annual EH&S objectives
Housekeeping
• Maintain clean work environment in facilities storage warehouse and office.
• Conform to all ergonomic assessment requirements
• Actively participate and support the Canadian Operations 5S Program
Qualifications
POSITION REQUIREMENTS / QUALIFICATIONS
• Education: 3 Years of community college or equivalent.
• Experience: Minimum of one year and 6 month in related work experience.
• Competencies: Computer literate, Microsoft Office, Word, excel, Access, AS400 System, and A maps
