As the Sr. Executive Admin Assistant, you'll provide diversified administrative support to the CEO. Assistant must be able to troubleshoot, think, and act immediately and independently. The assistant must work well with many different levels of management from CEO to Entry-level. Must be able to create effective working relationships with inside associates, outside consultants and business partners. Must be able to handle sensitive and confidential matters in a professional setting.
Responsibilities:
• Provide administrative support to the CEO and VP team
• Handle administrative details and routine issues independently, and take responsibility for completing these on time, to a high quality
• Ability to understand full scope of Lucky Brands Business model
• Develop and demonstrate a solid working knowledge of the company’s structure, product lines, key personnel, and policies and procedures
• Ensure efficient, effective and economical facilitation of general office administration
• Must work well with many different levels of management: communication and team building and proactive persona critical for success
• Ability to manage support team and/or junior assistants
• Use Concur to schedule travel arrangements. Follow policies and procedures to make travel arrangements. Confirm details and create itineraries
• Maintain calendar - keep consistency with desk calendar and computer calendar
• Direct and manage projects from beginning to end
• Coordinate and organize a wide variety of activities and events (e.g. meetings, conferences, etc.)
• Collaborate with colleagues to recommend most cost-effective ways to complete tasks and plan company meetings and events
• Estimate the resources and participants needed to achieve project goals
• Prepare a variety of written materials (e.g. reports, correspondence, calendars, memo’s letters, etc.)
• Create documents and communication memos and emails
• Assist in follow up of emails
• Create and sustain an organized filing system and reporting binders
• Maintain expenditure records and prepare budget request
• Enter monthly Concur expense reports reconcile reports
• Resolve straight-forward to moderately complex problems and issues
• Use appropriate judgment and knowledge of firm policies, when sharing sensitive information
• Knowledge of operations and process and customer service
• Ensure a smooth-running department that allows management to concentrate on their job functions
• Proactively notify the appropriate individual on issues of quality, confidentiality, or risk
• Anticipate and respond to changing situations. Encourage and help others to do the same
• Access to car to drive for lunches- meetings at separate Lucky buildings
• Answer phones, primarily for CEO
Qualifications:
• BS/BA degree or equivalent experience
• Must have 5+ years experience assisting a top executive and teams
• Operations, Customer Service and Financial support teams’ a plus
• Must have strong computer skills including heavy EXCEL, OUTLOOK, and POWERPOINT
• Work for a medium to large size corporation
• Internet savvy
• Able to work remotely with little to no supervision
• Professional with the ability to practice discretion
• Able to adapt to a fast pace ever changing environment
• Strong written and verbal communication stills
• Able to read and understand financial statements
