Administrative Assistant, Global Marketing, Tom Ford Beauty
Description
• Responsible for managing the calendar, answering phones, taking messages (including voicemail inbox review), scheduling conference calls and overall administrative support to the Global Product Marketing Vice President.
• Coordinates travel arrangements for Vice President and Marketing Executive Directors.
• Prepares and processes expense reports for the Vice President and Product Marketing Executive Directors
• Schedules meetings for the Vice President, and occasional large group meetings on behalf of Executive Directors.
• Manages product closet including budget tracking, inventory ordering and organization, and enforcement of product request process. Prepare gift bags as requested by VP.
• Gathers and issues cross-departmental topics for the Weekly GMW/IMW newsletter
• Responsible for coordination and support of internal meetings (e.g. conference room reservation, printouts, AV set up, etc.).
• Supports team in administrative planning and coordinating of major meetings (i.e. Global Conferences and Workshops, Regional Roundtables, Innovation and Brand Strategy meetings).
• Assist Vice President of Marketing with presentations and PowerPoint needs.
• Maintains designated Tom Ford Beauty email group aliases.
• Facilitate shipping needs to domestic and international affiliates.
• Order and track all TF eyewear through vendor.
• Process invoices through the SAP and Oracle system, as requested (e.g. Lab samples).
• Collects agenda topics as requested for standing team meetings (Alignment, Prod Mktg)
• Maintain team printer toners, order office supplies and other office housekeeping tasks.
• Responsible for providing general administrative support to Product Marketing team.
Qualifications
• Position requires 1-2 years administrative experience in a corporate environment.
• Excellent organizational, multi-tasking and communication skills required.
• Proactive and willing attitude; pleasant and convivial demeanor.
• Able to handle a fast-paced environment and work well under pressure.
• Ability to exercise professional discretion and judgment.
• Computer Skills: Excel, Word, Outlook and PowerPoint required.
• Knowledge of SAP, Oracle, IMW, CPMS, and Concur a plus.
