Administrative Assistant, SVP Global Product Marketing, MAC
POSITION SUMMARY:
This position involves providing administrative support to the Senior Vice President, Global Product Marketing. Candidates must be independent, professional, flexible, have exceptional communication skills, and posses the ability to independently manage multiple tasks efficiently. Duties will include coordinating meetings and travel arrangements, preparing presentation materials, maintaining supplies, submitting expenses, assisting with various reports.
PRINCIPAL ACCOUNTABILITIES:
• Provides diversified administrative support to Senior Vice President, Global Product Marketing.
• Liaison between the Senior Vice President and other staff members, senior management and outside contacts.
• Prioritizes SVP daily workload. Organize workflow for SVP and work with direct reports to ensure efficient/timely completion of assignments and follow up.
• Manage extensive daily schedule and travel calendar.
• Manage all correspondence including mail and email: by sorting, prioritizing, highlighting and typing messages
• Ensure distribution of all communications and/or materials, understanding and observing degree of confidentiality.
• Maintains contacts, filing systems, correspondence, and purchase office supplies.
• Directs people to appropriate sources for expedient follow-through.
• Manage invoices, monthly accruals and follow up.
• Manage and prepare expense reports; review direct report T&E for signature.
• Manage direct report attendance and vacation schedules.
• Plan and coordinate SVP travel itineraries.
• Develop Power Point presentations for key meetings such as strategic meetings with Sr. Management.
• Coordinates with office services and direct reports administrative staff to ensure that department is clean and well organized at all times.
• Manage and maintain departmental equipment and office supplies.
• Coordinate large staff meetings, phone and video conferences.
• Researches projects as assigned and conducts administrative follow-up.
Qualifications
POSITION REQUIREMENTS:
• Position requires 3+ years administrative experience supporting senior executive in a fast-paced, fast paced corporate environment.
• College or University degree preferred.
• Mature professional demeanor at all times.
• Strong interpersonal skills required and ability to exercise professional discretion and judgment.
• Able to handle a fast-paced international business environment, work well under pressure and able to prioritize.
• Ability to work independently, manage multiple priorities, and attention to detail.
• Excellent organizational, communication and computer skills required.
• Advanced Microsoft Word, Excel, Windows, Outlook, PowerPoint.
• Excellent time management and follow-through skills with respect to detail.
