Rocksbox is looking for an Office Coordinator & Executive Assistant to manage office operations, assist with HR-related functions and support the CEO. Ideal candidates will have flawless communication skills, meticulous attention to detail, sound judgement and a positive outlook. This position is located in our Union Square headquarters and reports to the Director of Office & People.
Responsibilities:
Office & People
• Assist recruiting efforts by providing support with scheduling, maintaining our organizational tools, and ensuring a smooth, positive candidate experience
• Maintain HRIS systems used by the company and own all on-boarding, off-boarding, file maintenance and other administrative tasks
• Maintain strict level of confidentiality and use discretion with sensitive information
• Keep the office running smoothly: maintain supplies, keep kitchen stocked, maintain communication with office vendors, greet visitors, and generally ensure our space looks and feels bright & fresh
• Assist with event planning, keep track of birthdays and anniversaries, and make sure we stop to have fun
• Track office & people expenses using Quickbooks & Excel to keep us within budget
CEO Support
• Own CEO’s administrative tasks, including calendar maintenance, travel, expenses, etc.
• Create communication materials, including investor, team, conference & other speaking or event materials. Support external communication (PR, recruiting, partnerships, networking)
• Serve as project manager / lead for specific initiatives driven by the CEO
Requirements:
• 2-4 years of executive support experience
• Experience supporting high-volume recruiting efforts preferred
• Meticulously organized, highly detail oriented, and thrives in a fast-paced environment
• Unfailing positive attitude, high energy and hard-working spirit
• Excellent written and spoken communication – spelling and grammar are second nature
• Excellent time management and ability to shuffle priorities on the fly
• Ability to anticipate next steps before being asked; proactively finds new & better solutions
• Fluent in PowerPoint, Excel, gmail, Google Apps, and Dropbox. Experience with Quickbooks is preferred; Trello is a plus
