Holt Renfrew is embarking on a period of business transformation to support changing customer expectations, new sources of growth, an evolving competitive environment and the ongoing shift to multi-channel retailing. The Assistant, Administrative defines the luxury lifestyle shopping experience through building lasting relationships with our people, customers and partners by providing administrative support to multiple Vice Presidents and/or Divisional Vice Presidents, as well as handles overflow work for the team when required.
Specific responsibilities include (but are not limited to) the following:
• Track, record and prioritize all items requiring action and ensure follow-up in a professional and timely manner
• Administer VP and/or DVP’s travel/non-travel/corporate credit card expenses; track and ensure accuracy and timeliness of invoices and expense reports
• Schedule VP and/or DVP’s calendars for travel, as well book travel arrangements via third party vendor
• Prepare, edit and coordinate material for key meetings, including creations and enhancement of presentation and support materials
• Order catering and set up boardrooms for key meetings
• Assist with maintaining vacation schedules for team
• Order supplies and maintain supply cabinets
• Receive and direct visitors and clients
• Handle requests for information and data, resolve administrative problems and inquiries, prepare written responses to routine enquiries
• Complies with all Health & Safety policies and requirements
The ideal candidate:
• Post-secondary degree in a related field or equivalent work experience
• 1-2 years of post-university work experience
• Demonstrated leadership and influencing skills with the ability to get things done
• Excellent interpersonal skills; a team player who is able to act as both a leader and an individual contributor as required
• Confident and effective communication (written & verbal) and interpersonal skills
• Is adaptable and comfortable with ambiguity and change
• Highly service-oriented with exceptional organizational and follow up skills
• Passionate about fashion and luxury retailing
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
