Purpose
Assist planning and execution of key WE events including Sales Launch, diverse Management Conferences and Senior Leadership Team Meetings, ensuring maximum impact for employees and customers.
Provide a high level of administrative support to Marketing Operations Team to ensure efficient management and running of the function on a day to day level.
Key Accountabilities
Internal Events
• Pro-actively support the development of concepts for events, fairs and exhibitions.
• Supporting the planning, coordination and execution of inspirational and fresh WE dual brand Seasonal launches.
• Coordinate and facilitate key EKA Retailers Launches and other WE corporate special events.
• Support ‘on loan’ staff throughout the launch process. Ensure they gain the relevant required experience whilst also wider exposure to the business.
• Play an important role in MOPS WE alignment and continuous improvement.
• Support senior team members in various project processes and organizational tasks.
Team Support
• Format, type and edit a variety of material, including correspondence, minutes, reports and confidential material
• Maintain and update department files, records, (organizational) charts, subscriptions and publications
• Assist in creating/revising of presentations
• Schedule internal and external meetings/conferences
• Coordinate and execute all travel arrangements for team members including flight and hotel booking visa securing, car reservations and airport pick-up arrangements and solving standard problems in reasonable timeframe
• Complete travel expense reports
• Handle assigned operational tasks of respective department under supervision
• Support team as well as management
Knowledge, Capabilities and Experience
• Advanced user of Excel, Powerpoint, Word and MAC
• Excellent Organization Skills
• Strong negotiator
• Attention to detail
• Ability to build effective and positive working relationships internally and externally
• Works well under pressure and able to manage conflicting priorities and high workload.
• Able to work under pressure, responding postively and flexibly to short notice changes and obstacles.
Qualifications
1. Degree educated preferred in Project Management or Business
2. First Project and/or Events Management Experience
3. 1+ years experience in managing internal and/or external corporate events for circa 500 people
