• Act as a primary point of contact for the Finance and HR executive leads with all internal and external parties.
• Manage the scheduling and rescheduling of appointments, communicating to attendees, maintaining a flexible approach to changing schedules, ensuring appointments are met and correct facilities have been booked.
• Provide general administrative support for the office, supporting executives when needed and working closely with direct reports of the executive.
• Support the teams with coordinating presentations and preparing slide decks.
• Support the executives with the submission of their monthly expenses.
• Manage global communication efforts between Global Coach Offices, including the coordination of schedules and the distribution of materials/messaging.
• Coordinate all travel logistics including flight, hotel, car and rail. Apply for necessary visas for travel.
• Partner with other EA/PAs throughout the office to support the Coach team, provide suggestions for process improvements and office efficiencies
• Manage the Travel & Expenses budget for the Finance and HR teams, including the submission of expense reports. Partners with Finance to manage forecasted travel budgets.
• Organise events including coordinating agendas, sending invitations, confirming logistics, catering, IT, etc.
• Produce general correspondence to both internal and external stakeholders.
• Liaise with the IT department for all technical needs related to meetings, including conference call set up, VC set up and room bookings.
• Coordinate and/or lead ad-hoc projects.
• Provide PA cover to other team members when required.
The accomplished individual will …
• Have extensive experience of working as an EA/PA to senior level management.
• Be highly computer literate, particularly in Word, PowerPoint and Excel.
• Demonstrate professionalism and a high degree of confidentiality.
• Have strong problem solving skills; be proactive and takes initiative.
• Be very flexible and able to re-prioritise near-term assignments.
• Have exceptional organisational skills.
• Be an excellent communicator with interpersonal skills.
• Establish and build partnerships at senior management level, and across the teams.
• Have the ability to handle multiple assignments while showing diplomacy and efficiency in a highly pressured environment.
• Be able to act quickly to last minute requests and changes and work autonomously.
