Position Title:Administrative Assistant Location:Reno, NV.
Reports To: Director of West Coast Retail Distribution Position Type: Full Time
Position Summary:
The Administrative Assistant provides support to the Director of West Coast Retail Distribution and other leadership for the facility. This position has ownership over multiple tasks, providing a wide range of support for accounts receivable/payable, non-inventory control, vendor relations, payroll, onboarding, employee relations and other duties as assigned.
Primary Duties & Responsibilities:
• Greet visitors and provide friendly service or directions
• Verify payments to external vendors are made, track budgetary spending.
• Ensure supply levels are accurate and meet business needs.
• Update daily, weekly, monthly, quarterly, and annual building performance.
• Attend and assist with meetings, taking notes, follow up on action items as needed.
• Verify accurate payroll, attendance tracking, vacation and personal time off requests.
• Employee relations, event planning, employee of the quarter/year administration.
• New hire onboarding, orientation, and follow up.
• Generate incentive payout sheets.
• Book travel for the distribution center
• Work with leadership team on various tasks and responsibilities.
Knowledge & Skills Requirements:
• Excellent verbal and written communication skills.
• Ability to learn new systems quickly.
• Able to multi-task and prioritize effectively in a team environment.
• Analytical, ability to track, record and report correct information.
• Strong skills in Microsoft Office suite.
Requirements:
The successful candidate must be able to work approximately 40-50 hours a week, or more, in a fast-paced environment. This individual will have the ability to excel in a rapidly changing environment and meet deadlines. Must be service and team-oriented, a creative thinker, and exhibit sound judgment. The Administrative Assistant must be accountable, reliable and willing to learn. Excellent oral, written communication and interpersonal skills are key for this position. The highest level of integrity and confidentiality are required.
