The Executive Assistant will provide a wide range of executive, logistical, and administrative support for the Import Production and Operations teams. The position will coordinate and navigate schedules within set timelines to ensure daily operations run smoothly. The ideal candidate will manage key projects for the organization and serve as a liaison for senior management as well. The successful candidate must be enthusiastic, collaborative and eager to take on various project management responsibilities, and must be well organized, effectively multi-task, prioritize, and have excellent written and verbal communication skills.
Duties:
• Support the Supply Chain team with requested projects
• Oversee the 3 Brand Calendars for Import Production team
• Supports executive calendars for Operations, Supply Chain, Sourcing & Logistics, and Distribution
• Schedule daily meetings, and maintain calendars with the ability to understand and anticipate challenges facing leadership executives and be able to manage and reschedule priorities effectively and proactively.
• Coordinate the schedule for the company’s various Line Reviews
• Assist the executives with related invoices
• Arrange corporate travel arrangements for the VP of Sourcing & Supply Chain
• Handle corporate expenses on behalf of the VP of Sourcing & Supply Chain and VP of Design
• Assist the Director of Operations with facilities-related issues, including office moves and the Sample store
• Coordinate Current/Elliott and Equipment meetings between the Import Production team and the SVP of Brand Management & Creative Process
• Administer and oversee cell phone process and policies
• Reconcile billing with AP for necessary purchases, such as cell phone statements
• Organize arrangements for IT – PLM meetings
• Handle and maintain highly confidential and sensitive information.
• Reconcile time and expense reports and manage design budget; ensure adherence to compliance guidelines.
• Prepare all types of correspondence often acting independently, including letters, memos, agendas, and reports; prepare additional documentation as needed including composing, proofreading, formatting, and editing documents.
• Use analytical ability to gather and summarize data, make decisions and solve problems.
• Utilize effective time management to ensure key activities are accomplished promptly and accurately.
Skills/Qualifications:
• Three years minimum experience as an Executive/Administrative Assistant preferably within the apparel industry.
• Professional and positive demeanor
• Excellent verbal and written communication skills, involving high-level communication both internally and externally.
• Ability to work independently, with strong problem solving skills
• Highly organized and able to prioritize with proven accuracy and attention to detail
• Strong analytical and project management skills
• Discreet and respectful of principal’s privacy
• High level of personal and professional integrity and ability to exercise sound judgment
• Ability to maintain confidentiality and professionalism in all situations
• Internet savvy and proficient in Microsoft Windows, including: Word, Excel, and Outlook
• Exceptional ability to organize work and tasks; attention to detail and excellent follow-through.
• Ability to thrive in a fast-paced environment and execute effectively against multiple projects and deadlines.
• Demonstrated ability to take initiative, anticipate needs and exercise independent and sound judgment.
• Experience making complex domestic and international travel arrangements.
• Extremely flexible: must be able to constantly prioritize a multifunctional position and work overtime as required.
