Summary of role:
• Manage the Continuous Improvement Team driving transformation within PFS, building strong relationships with the TEP programme;
• Lead the design and implementation of strong governance within Company Finance Services
• Accountable for the management of Company’s outsourced shared services agreement with IBM ensuring that our Service Provider meets agreed service levels, costs and quality requirements.
• Coordinate the relationship with InvestNI
Main activities/responsibilities:
Service Delivery:
• Ensure effective governance for service delivery with key stakeholders for services provided by both BPO and PFS
• Monitor service performance and service quality and ensure SLAs are fit for purpose, reported correctly and are effective for current environment.
• Resolve service escalations across BPO and within PFS quickly and ensure preventative measures in place to mitigate in future (e.g. KIR/PDR Process).
• Measure and achieve good customer satisfaction ratings through annual CSAT surveys covering key stakeholders/end users of the service.
• Monitor annual contract deliverables (BPO) ensuring that all contractual obligations are met in a timely manner.
• Coordinate with PFS Leadership to identify opportunities to transition work from PFS to BPO supplier in support of Company’s Target Operating Model (TOM) and oversee any transitions.
• Coordinate transition of new work to PFS, ensuring processes and governance are in place, resources identified and documentation protocols followed.
Transformation & Continuous Improvement:
• Champion the design and implementation of standard and efficient best practice processes in PFS, and roll out to the wider business;
• Key liaison with the Enabling Programme (TEP) and the further rollout of Oracle Fusion EBS across finance globally;
• Develop and lead a team of Oracle EBS super users
• Liaise with TEP to create global processes with global process owners;
• Lead the Continuous Improvement team based within PFS to ensure projects identified to drive change and transformation are delivered to plan and deliver measurable improvements
Contract and Financial Management:
• Manage the contract and changes to it through our CCN process which includes a review of all proposed CCN’s, their cost implications and where FTEs are being added verification from key stakeholders that offsetting costs are identified.
• Participate as a key player in all contract discussions and negotiations with the aim of delivering savings to Company finance costs.
• Ensure a thorough review of all monthly charges is performed and that costs are in line with current 3A3G contract billings. Any deviations should be discussed with service provider’s billing contact and resolved timely.
• Prepare annual budget and forecast updates for global service delivery contract. Budgets are prepared in USD, GBP, MEX peso and HKD and are to be reviewed with key stakeholders to ensure alignment of their submissions to Company Finance.
• Ensure actual costs are tracked monthly against annual budget and latest forecast.
• Manage the reporting obligations for InvestNI and ensure grant applications are made in a timely manner
BPO Transitions:
• Prepare for and deliver smooth stabilizations of work transitioned from Company to IBM in support of TOM.
• Ensure proper governance is maintained to provide for objective Go / No Go decisions.
• Identify company-wide opportunities to leverage BPO services where they are agreed to be in the best interests of Company globally.
• BPO Audit and Control:
• Ensure that a satisfactory control environment is maintained and that supplier follows all Company policies around access, finance controls and SOX.
• Liaise with both Internal and External audit for site reviews are conducted timely and effectively and work with supplier to quickly resolve any noted deficiencies.
• Perform annual SSAE16 SOX test, review annual QSEC report and BCP testing reports noting any highlighted gaps or deficiencies and track action plan through remediation.

Qualifications
• Finance or business related degree;
• Non- relevant degree with significant finance or business experience will be considered;
• At least 5 years in a management/senior management role;
• Experience in managing teams of 5-10 staff;
• Experience of leading teams in a matrix environment;
• Oracle EBS/OBIA/Hyperion Planning/Smartview experience highly desirable;
