Retail Coordinator and Administrative Assistant, Europe
Overview
We have an exciting opportunity to join our Retail Head Office Team based in London. The successful candidate will be hired to provide administrative support for the Senior Retail Directors and coordinate Retail activities for the wider Retail team in Europe.
Responsibilities will include (but not be limited to):
• PA duties to senior retail directors
• Travel coordination, Visa processing and travel itinerary planning (International and Domestic) on a weekly basis for senior directors
• Processing invoices and expenses - use of expense systems (e.g. Concur and Coupa)
• Arranging couriers, taxis and booking meeting rooms as required
• Personal PA duties; travel, social engagements and adhoc personal support
• Full business administrative support; maintaining filing systems, contact lists, databases and tracking of movements
• Key Retail Contact to liaise with business partners at all levels
• Gatekeeping; dealing with queries, calls & meetings on behalf of/alongside Executives
• Scheduling meetings and planning itineraries – full diary management
• Undertaking and supporting in business projects
• Preparing reports for meetings, including creation of PowerPoint presentations
• To manage inboxes responding and dealing with where appropriate as well as producing emails on behalf of senior directors
• Extensive coordination of internal Retail events (local and European) – Yearly European Store manager conference / Quarterly leadership meetings / Quarterly Store Manager meetings
• Research the local and European market for brand-right external event partners
• Establish and maintain relationships with local and European F&B partners/hotels/event venues
• Oversee legal documentation
• Budget management (raising purchase orders, tracking invoices, tracking T&E for retail field team, event budget management)
• Assist district managers with event organisation
• Logging team details (holidays, attendance, event dates)
• Induct new team members
• Collating and formatting data
• Be the main point of contact for administrative retail queries across European teams
