POSITION SUMMARY
The PA manages the flow of information between internal teams and departments to ensure timely delivery of on-air added values to the account teams. From script stage to final client approval and traffic delivery, they will ensure accurate and timely delivery while complying with established specifications, processes and provides assistance to facilitate the client’s on-air partnerships. The PA performs QC on all spots and relays revisions as needed to internal production teams. The PA also works on budget related aspects of production.
PRIMARY RESPONSIBILITIES
• Work with Account Executives, Managers, Sales Planners and Assistants to ensure creative vision of spots are being achieved in a timely manner
• Coordinate with Sales Assistants to acquire all assets needed to start production: tagline, EPS logos, deal#s, air dates, etc. Daily management of the production of partnerships elements (tagged tune-ins, brand bridges, content interstitials, etc.) And make sure all value added elements have been booked correctly in the sales System.
• Fill out all production request forms to kick off production, ensuring all information and timelines are correct and maintain production status reports for the team.
• Liaise between multiple internal divisions such as ad sales, integrated marketing, programming, production, graphics, & traffic.
◦ Producers – ensure spots are produced accurately and delivered timely. Communicate all revisions and approvals.
◦ Graphics – work w/ graphics to QC and approve all logos.
◦ Broadcast Operations and Traffic Specialists – ensure all files are delivered to broadcast operations specs. Make sure all traffic instructions are correct, in Stamford with client approval on a timely manner and according to the logs schedule.
◦ Ad Sales Teams – work with sales to secure all assets and approvals from clients/ agencies and communicate timelines, questions and issues for all elements.
◦ Finance – assist the finance manager with invoices and monthly accruals, serve as backup as needed.
• QC final spots before sending out to client and broadcast ops.
• Update all production reports and provide updates on all projects during weekly team meetings.
• Create a system to store and archive digital assets for future reference, and create comp reel for client or sales meetings as needed. Process orders through the media library system database and work directly with duplication vendors to insure the timely and accurate processing of all dub orders.
Qualification Requirements
• Must be able to plan ahead and anticipate potential future problems.
• Familiar with MS office and Mac applications, including mid-level Excel, Power point and basic Mac operating systems/software
• Must be detail-oriented, able to communicate effectively to multiple internal teams, be proactive when dealing with all projects, ability to work in fast-paced environment, and to adapt to change with little or no negative impact to productivity.
• College graduate or equivalent.
